Primary Purpose
Support the scheduling and coordinating of field trips for the district (Pre-K-12) during the school year. The Field Trip Specialist schedules buses/drivers to transport athletic teams and other trips.
Qualifications
Education/Certification/Licensure
- High school diploma or GED
Special Knowledge/Skills
- Effective communication and interpersonal skills
- Efficient typing and computer skills
- Good organizational and filing skills
- Ability to receive and give verbal instructions effectively
- Knowledge of general office procedures
- Ability to follow written and verbal instructions
Experience
- Minimum of 2 years general office experience
Major Responsibilities and Duties
- Verify field trip drivers meet CCISD and DOT requirements for CDL
- Communicate field trip processes and procedures to all appropriate staff and
- Process all field trips for Pre-K-12 (including athletic and academic related trips and Special Education field trips) by scheduling, assigning, and dispatching extracurricular trips.
- Display proficiency in using the software used to electronically process field trip
- Train sponsors/coaches/teachers in using the field trip software to request buses for field
- Create billing for campuses, third party and process payments to drivers for extracurricular
- Assess the basic needs to accommodate each trip
- Coordinate and track emergency trips for the (Evacuations, other emergency needs)
- Support a system of rotation that provides all eligible drivers an opportunity to drive extra
- Prioritize and coordinate the scheduling of trips and buses so that as much advanced notice as possible may be provided to drivers.
- Contact the person(s) requesting a field trip immediately if a scheduling problem
- Prepare trip packets for coaches and drivers.
- Make recommendations to the Director of any “cost savings” that might result from combining groups who are traveling to the same destination.
- Conduct a field trip in-service for drivers as needed.
- Serve as the emergency contact person on weekends when drivers transport
- Knowledge of all Accident Response Procedures (e.g. dispatching police, ambulance, drug testing agency, notifying appropriate personnel; covering any remaining portion of the route; assisting in notifying parents of students on the bus).
- Keep accurate records of all trips and
- Maintain confidentiality at all

- Assist with Geocoding.
- Prepare data for TEA Operations and Route Services reports.
- Collaborate with Operations and Fleet regarding vehicle demand and availability.
- Respond to concerns of stakeholders promptly.
- Document and report issues and concerns for Supervisors to address.
