Job Summary:
Due to Government requirements (NNPI), this position requires hired candidates to hold the status of either a US Citizen or US National.
Handle and deliver orders in a way that the customers’ expectations regarding scope and delivery time are fulfilled. (Medium to high level). Performs document control and records management on behalf of project user groups. Provides key support for functional groups and customers, including performance of a wide variety of functions involving document control and records management. Provides the leadership needed to address issues, motivate staff members and manage and maintain compliance to applicable standards such as ASME Code, ISO, Government Specifications, etc.
Accountabilities:
- Follow HSE (Health, Safety and Environment) and related work instructions and assist implementation of HSE regulations and policies
- Create a Deliverable List and Information Sheet outlining all the required document submittals and the due dates and distribute to appropriate departments as required by the customer order.
- Create data books containing copies of the Order Acknowledgement, Purchase Order, Customer Specifications, Original Quote and any additional required documentation.
- Maintain the Project Master List and distribute it for the weekly project meeting
- Recognize and act upon issues related to project performance metrics such as on-time delivery, cost containment, customer communication and throughput
- Collaborate with customers, team members and employees to ensure an excellent Customer Experience in alignment with the Tranter Core Values
- Initiate kick-off meeting between the front-end team and back-end team to identify the required deliverables and CTQ’s to ensure clear and concise requirements communicated to the entire team.
- Professionally represent Tranter when working with customers and ensure an exceptional customer experience.
- Effectively communicate with customers to ensure a win-win outcome.
- Create, follow and implement department SOP’s.
- Meet or exceed department KPI’s
- Drive the lean enterprise system in Project Management processes
Principle Duties and Responsibilities:
- Due to the close relationship working with the manufacturing team, this position requires on-site work w/very limited hybrid availability.
- Join the initial kickoff meeting with customers and sales to introduce the project engineer as a point of contact.
- Review job specifications and document requirements, to then format them to customer template.
- Keep track of Document Deliverables list to stay on schedule for document submittals.
- Inform customers if there are any delays with the documents/production/fabrication and shipping.
- Schedule bi-weekly meetings with customers to inform progress on the job, if necessary.
- Schedule bi-weekly meetings with suppliers including LHE Korea and Tranter China (all welded and gasketed products) to keep track of orders and pass along that information to the customer.
- Keep track of milestone payments, provide customers with milestones completion proof and invoice the customer with the help of accounting.
- Schedule a kickoff meeting after a project has been awarded for a superchanger (welded products) with the Tranter team: sales, production and engineering.
- Work with procurement team to keep eye on the ETAs of material. This is a very important activity before the prefab meeting.
- Schedule the prefab meetings.
- Coordinate with the customer & Tranter team to schedule inspections per ITP.
- Schedule meetings with third party AI to come inspect the units at Tranters facilities.
- Responsible for post-Sales activities.
- When needed, assist in purchasing of products for Tranter Operations from selected suppliers
- Acts as company liaison to manage customer projects through the entire process from customer inquiry through shipment of product.
- Performs document control and records management on behalf of project user group(s). Includes maintenance and delivery of records/data management services and systems, which may include maintenance of files, archiving, and management of repositories.
- Day-to-day problem solving, working closely with production, sales technical specialists, designers, purchasing, Q.C., R&D and in trouble shooting of field problems of customers
- Compiling and arranging data, making computations, laying out and preparing reports, processing and coding documents.
- Confers with management, production, and sales staff to determine project feasibility, define technical requirements, cost effectiveness, and customer requirements for various projects
- Review all new document control jobs for vendor document requirements and due dates for documents.
- Review Vendor Document Requirements during quote stage and provides a cost for the requirements. Obtain Plant Manger approval on this.

- Prepare and submit documents to the Customer with a transmittal letter, including Data Books.

- Track and follow up on all submitted documents from the Customer to ensure return within a reasonable time frame.

- Upon return of documents, work with Sales Tech/Engineer and Drafting/Engineering to revise documents and resolve any document issues.

- Request the Sales Tech/Engineer and Drafting/Engineering create a change order to initiate changes.
- Other duties as assigned.

Education, Qualifications and Experience:
- Bachelor’s degree in mechanical engineering preferred.
- Heat Exchanger or similar product experience a plus.
- Minimum of 1 year of project management experience
- PMP Certification a plus
- Knowledge of ASME Code, Section VIII Division 1 a plus
- Proficient in Microsoft Office Suite
