Job Title : Project Coordination Specialist
Location : SF Bay Area (Hybrid)
Note : Strong skills in Billing & Excel required. An Excel test will be conducted.
Financial Responsibilities :
Validate timecards on a weekly basis.
Reconcile actuals to forecast weekly, following up as necessary.
Generate actuals to forecast reports at month-end.
Capture and adjust forecast sheets as needed.
Vendor Management :
Execute monthly control processes to ensure all contract resources are accounted for and optimally utilized.
Compile monthly reports for resource managers to verify allocation.
Make adjustments based on resource manager requests.
Key Responsibilities :
Support the Project Manager in coordinating the in-house project team, including designers, engineers, production, assembly, and site personnel.
Collaborate with the client's team, including project managers, architects, engineers, and consultants, to meet contract time, cost, and quality objectives while organizing project resources effectively.
Develop a comprehensive understanding of bid and contract documents, including trade contracts, scope drawings, specifications, and bid pricing clarifications.
Assist the Project Manager in creating, tracking, updating, and reporting on a detailed project schedule for design, engineering, mockups, production, and installation activities.
Help manage the contract schedule of values and payment requisitions, ensuring timely project cash flow and payment receipts.
Support the Project Manager in pricing and purchasing materials, equipment, and sub-contracts, ensuring compliance with budgetary, time, and quality requirements.
