We are seeking to hire a Business Administrator for our rapidly growing, family-owned dumpster rental company operating in Tampa, Orlando and southwest Florida.
This is an in-person position in the company office which will be commutable from Lakeland, FL.
The Business Administrator will be responsible for managing and optimizing the company's administrative and financial processes.
Key Responsibilities
- Oversee Billing and Software Management :
o Manage billing software such as Docket and QuickBooks
o Review and process every detail related to jobs, including operations notes
o Synchronize payments for drivers and employees
o Control and record each landfill ticket
o Monitor bank transactions and document each invoice
o Accurately account for revenues and expenses, ensuring complete documentation
for brokers
o Monitor and collect overdue invoices
o Prepare payment arrangements for long-term projects with large companies
o Implement automatic collections for small companies
o Collect daily invoices and optimize cash flow
o Monitor credit card expenses, preventing debt accumulation and monitoring for fraud
o Generate detailed monthly financial reports on the company's financial status
o Maintain constant communication with the operations team to ensure every job detail is recorded and managed correctly
o Collect and process job notes from the operations team
o Continuously evaluate and improve administrative and financial processes
o Propose innovative ideas to optimize management and company efficiency
o Prepare and present reports to our Head of Billing and Head of Operations, highlighting administrative, financial and operational issues and proposing solutions
