Position Summary
TLSS seeks a Calendar Coordinator with expertise in New York defense to work in our Hawthorne, New York office. The role's primary function is to coordinate and maintain the office's litigation calendar while handling receptionist duties as needed.
Key Responsibilities
- Daily communication with clients, adversary counsel, court reporters, and law firm colleagues to coordinate and schedule depositions, court appearances, trial dates, and hearings.
- Create and maintain an accurate, detailed, and current electronic law firm calendar of all depositions and appearances.
- Ensure that all docket entries are scheduled and coordinated with attorneys' calendars and clients' availability.
- Obtain coverage for conflicts or reschedule appearances.
- Review and enter all incoming calendar-related mail.
- Distribution of weekly calendar.
- Remain current on court procedures and rules in all venues regarding deadlines and filing requirements and sharing information with the team.
- Handling light receptionist duties as needed.
- Other duties as needed.
Qualifications
- Excellent and professional telephone and written communication skills.
- Cutting-edge knowledge of Microsoft Office applications (Word, Excel, PowerPoint), systems, and software utilized to practice law in a digital environment, using a case management and calendaring system.
- Prior New York law firm deposition/calendar coordinating experience, preferably with an insurance defense litigation firm.
- Knowledge of New York civil litigation court rules, procedures, nomenclature, and e-calendar technology.
- Excellent time management and organizational skills.
- Ability to thrive in a high-volume and team environment.
- Enthusiasm and commitment to operating effectively as part of a team.
- High level of discretion and confidentiality.
- Excellent written and oral communication and interpersonal skills are required.
