Job Summary: Support the CEO for projects, responsibilities and organization. This is a fast-paced environment that requires strong English and organizational skills. Only those who are self-driven will be interviewed as you will be challenged with tasks and projects you will have not done before, and you need to be able to be solution-oriented and be one who figures out a way and then creates systems for efficiency. There are a lot of moving pieces, and the skills of successfully juggling multiple things at once yet staying organized, efficient, being proactive to find solutions on your own, and frequent and succinct communication is a must. You are the one the CEO can come to and ask you to do anything that must be done and no-one else on the team is available to do it. Thus, you must love to learn, love to work as a team with the CEO and be obsessed with efficiency, systems and getting things done.
Specific types of responsibilities:
Documenting processes and systems with project management tools
Book podcast and speaking opportunities
Coordinate book launch through creating organized spreadsheets and following through with events and speakers
Organize all of the tasks, responsibilities and projects for the CEO
Direct support to the CEO for project management of CEO tasks
Attend key meetings with the CEO to take notes and translate them into the next action steps
Manage email inbox and CEO calendar
Handle executive tasks: daily priority tasks, Asana task management, and final document preparation with business brand
Facilitate team communication, meeting agendas with team members, and event planning.
Keeping a record of business ideas and revisiting them once in a while to determine which of these ideas can be implemented and explored further
Provides an updated to-do list M-Sat. (end of day Friday for the weekend)
Able to learn new things quickly and takes initiative to learn ways to do things faster and better on their own
Would never say, "That's not my job" or call in sick at the last minute
Skills & Qualifications:
Dependable and reliable. Able to respond immediately to CEO during working hours
Is a master at creating efficient systems that are organized, efficient
Strong English communication skills that enjoys frequent updates
Able to work independently and in a team environment
Proactively seeks solutions while creating long-terms systems
Slack, Notions, Asana, AI.
Ability to manage across multiple projects with strong attention to detail
Experience with Zoom and its advanced features
Ability to work under pressure and stress and stay calm, focused and solution-focused
Accountable Outcomes:
Ensures the right people are on her calendar for the right amount of time with agendas provided 24 hours in advance
Mediates and manages tasks assigned by the team
Effectively and efficiently communicates action items to team members
Provides an updated to-do list M-Sat. (end of day Friday for the weekend)
Ensure all links and documents provided to the CEO are correct and operational
Vetting podcast invitations aligning with our goals.
