Job Description
As the Sr. Executive Assistant, you will play a crucial role in supporting the CEO, CFO, and CHRO by providing a high level of administrative support. You will be responsible for providing comprehensive administrative support, which includes managing communications, coordinating travel and expenses, scheduling meetings, and handling sensitive information with confidentiality. Provides leadership to the Executive Assistant team to ensure coordination of administrative support, effective coverage/backups, and operational efficiency.
What you will be responsible for:
- Provide overall administrative support to CEO, CFO, and CHRO, including calendar management, meeting setup and coordination, travel and logistics planning, and expense reporting
- Act as the point of contact between company executives and internal/external clients
- Provide sophisticated calendar management to executives; prioritize inquiries and requests (with appropriate input from CEO, CFO and CHRO) while troubleshooting conflicts and ensuring timely reminders. Make judgments and recommendations to ensure smooth day-to-day engagements. Plan and coordinate with various department calendars to ensure important events are calendared and scheduling conflicts are avoided.
- Coordinate set-up activities for internal meetings, and meetings with external parties (such as customers, investors, analysts, etc.), including all relevant arrangements as needed: logistics, catering, supplies, A/V, etc.
- Prioritize conflicting needs and handle matters expeditiously and proactively, following up to ensure project or task completion
- Research, plan and make travel arrangements for the executive team and submit executives' expense reports promptly; review and approve expenses for CEO direct reports (with delegation of authority)
- Acts as the senior member among the administrative support team members. Trains, coaches, and/or guides other administrative staff. Coordinates backup support when needed and serves as a backup to other Executive Assistants as needed.
- Work with Investor Relations partners to coordinate banker, investor, and/or investor meetings and conferences with CEO and/or CFO
- As requested, capture meeting minutes, actions and proactively follow up on project deadlines and deliverables
- Produce and manage professional-quality presentations, reports and other documents
- Maintain an efficient documentation and filing system for both electronic and paper records
Qualifications
- H.S. Diploma required. A bachelor’s or associate degree is strongly preferred.
- Minimum of seven (7) years’ experience as an Executive Assistant supporting VPs and C-Suite. with 3 years’ supporting a head of the company (CEO, President) preferred.
