Greet and provide general support to visitors.
Answer and direct phone calls. Take messages as needed.
Retrieve voicemail messages and relay messages to the appropriate person.
Collate and distribute mail.
Assist with projects.
Carry out administrative duties such as filing, typing, copying, scanning, etc.
Schedule and coordinate staff and other meetings and take detailed minutes as needed.
Prepare communications such as letters, faxes, reports, emails, and other correspondence.
Assist in the preparation and generation of regularly scheduled reports and audits.
Write and edit documents from letters to reports and instructional materials.
Assist with data collection and organization of data via excel and Google sheets.
Create and maintain filing systems, both electronic and physical.
Assist with revenue cycle management activities.
Shred confidential documents
Maintain clean workspace and file room.
Maintain log of daily deposits for each location
Ensure each clinic balances weekly and finds any deficiencies.
Assist with managing accounts and perform bookkeeping.
Assist in preparing payroll.
Assist in the preparation and processing of accounts payable.
Run errands as needed.
Assist with human resources activities.
Assist with leave time requests and maintenance of leave time records.
Maintain supplies inventory and assist with ordering and verifying receipt of supplies.
Assist with coordinating office maintenance and repairs.
Create, plan, and conduct employee relations activities, events, and merchandise.
Assist other Admin staff as needed.
Any other duties as assigned by Admin staff.
Qualifications
- Proficient in Microsoft Office Suite
- Strong organizational and clerical skills
- Excellent customer service and phone etiquette
- Experience with data entry and filing
- Familiarity with QuickBooks.
- Ability to manage calendars and prioritize tasks effectively
