Job Overview
We are seeking a friendly and efficient bilingual (English/Spanish) Facilities/ Front Desk Associate to join our team. The ideal candidate will be the first point of contact for our guests, providing exceptional customer service and support. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Facilities/Front Desk Associate will be responsible for ensuring a welcoming atmosphere and assisting guests with their needs and will receive incoming packages/mail, will ensure that all office, kitchen and bathroom supplies are fully stocked
Responsibilities
- Greet and welcome guests upon arrival, ensuring a positive first impression.
- Manage check-in and check-out processes efficiently and accurately.
- Handle guest inquiries, requests, and complaints with professionalism and courtesy.
- Maintain all levels of office, kitchen and bathroom supplies fully stocked at all times.
- Maintain monthly office, kitchen and bathroom supply budgets.
- Conduct facility inspections multiple times per day to help identify and issues and or repairs within an office building.
- Order all catering for lunch conferences and assist with the morning meeting set up and break down.
- Receive all incoming packages and mail, must be have the physical ability to carry 30lbs boxes.
- Perform data entry tasks related to guest information and reservations for meeting rooms.
- Support large volume print presentations for departments including line reviews, board meetings and executive meetings.
- Support office onboarding of new personnel by preparing work stations with IT and HR departments.
- Utilize Google Suite for scheduling, communication, and documentation purposes.
- Assist with clerical duties as needed, including filing and record keeping.
- Provide support to other departments as required to enhance guest experience.
- Uphold phone etiquette while answering calls promptly and directing them appropriately.
Qualifications
- Previous facilities/front desk reception experience in a professional office setting.
- Bilingual English/Spanish verbal and written skills are required
- Proficient in computer skills, including data entry and familiarity with office software such as Google Suite.
- Excellent communication skills with a focus on phone etiquette and interpersonal interactions.
- Strong organizational skills with the ability to multitask effectively in a busy environment.
- A positive attitude and willingness to assist guests and team members alike.
Job Types: Full-time, Temp-to-hire
Pay: $18.00 - $19.00 per hour
Expected hours: 40 per week
