Position Summary

The Accountant (Accounts Receivable) is responsible for the planning, organizing, and maintenance of the College’s accounts receivable functions as required by the College’s/ACCS Fiscal Procedures Manual, the Alabama Community College Board of Trustees policies/procedures, and all applicable Federal and State rules and regulations. This position is also responsible for various general accounting functions as assigned by the Business Office Manager and/or Regional Chief Financial Officer.

Essential Duties and Responsibilities

  • Monitor and process all student billings.
  • Setup financial aid codes and coordinator to accounts receivable codes.
  • Maintain and balance third-party scholarships.
  • Debt Collection Liaison: monitor and maintain debt collection listings.
  • TouchNet Liaison: monitor and review TouchNet accounts.
  • Assist the Regional Chief Financial Officer or designee in preparing yearly financial statements.
  • Assist the Regional Chief Financial Officer or designee in maintaining TouchNet and Banner A/R.
  • Oversee and reconcile closed TouchNet/Banner cashier sessions daily.
  • Monitor and balance returned checks. (Manage database to track and collect NSF funds to include sending letters)
  • Coordinate with Admissions, Financial Aid to ensure accuracy of student accounts (billings, address updates, grades, Title IV funds)
  • Monitor, analyze, and process student refunds under the supervision of the Business Office Manager or designee.
  • Analyze student accounts daily.
  • Monitor bankruptcies. (Manage database to track amounts for preparation of financial statements (allowance for doubtful accounts)
  • Monitor and analyze Return of Title IV calculations coordinating with Financial Aid department.
  • Serve as backup to Cashier (both campuses) when needed.
  • Monitor and balance Title IV funds monthly as required by US Department of Education.
  • Approve student financial aid expenditures and assist the Financial Aid personnel with the reconcilement of expenditures when needed.
  • Reconcile Title IV funds for G5 drawdowns.
  • Coordinate with E-campus under the supervision of the Business Office Manager or designee to reconcile student bookstore charges for billing and accounts payable.
  • Assist the Director of Financial Aid in preparing yearly financial aid reports (FISAP, etc.)
  • Assist in preparation of financial and statistical reports detailing student accounts receivables, bad debt, collections, etc.)
  • Assist with the plan for control of accounts receivable, accounts payable, cash receipts, and restricted funds.
  • Assist the Regional Chief Financial Officer or designee with year-end closing processes.
  • Assist the Business Office Manager or designee with 1098-Ts.
  • Perform other job-related duties as designated by the Regional Chief Financial Officer.
  • Travel between both campuses required on a regular basis.

Qualifications

Required Minimum Qualifications:

  • Minimum of an Associate Degree in accounting, finance, business administration, or related field from a regionally accredited institution.
  • Two years of accounting, finance, or business experience.
  • Must possess knowledge of GAAP, GAAS, GASB, FASB.
Preferred Qualifications:
  • Bachelor's Degree in accounting, finance, business administration, or related field from a regionally accredited institution.
  • One year experience in fund accounting or higher education.
  • Accounts receivable experience.
Knowledge, Skills and Abilities Required:
  • Effective oral and written communication skills.
  • Skills in the operation of office machines used in business office.
  • Ability to work well under pressure.
  • Ability to handle multiple priorities.
  • Ability to analyze and solve problems.
  • Ability to function in an automated work environment.
  • Ability to plan, organize, coordinate and manage complicated tasks.
  • Proficient in Microsoft Word, Excel, and administrative computing systems.
  • Ability to communicate by using PC, telephone, and written media.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. The TRS is a defined benefit plan qualified under Section 401(a) of the Internal Revenue Code. All regular full-time and part-time employees (non-temporary and non- student) who work at least 20 hours per week are required to participate in The Teachers' Retirement System of Alabama.
Tier I - Pays 7.50% monthly. State matches 13.57% (effective 10/01/24)
Tier II – Pays 6.20% monthly. State matches 12.60% (effective 10/01/24)
Law Enforcement Officers:
Tier I-Pays 8.50% monthly. State matches 13.57% (effective 10/01/24)
Tier II- Pays 7.20% monthly. State matches 12.60% (effective 10/01/24)

Health Insurance
PEEHIP, established in 1983, provides health insurance benefits for active and retired education employees and is governed by the PEEHIP Board of Control.
