Position Summary

The Cashier is responsible for assisting with walk-in customers, telephone calls, and emails. The staff member will perform a variety of tasks related to the organization and operation of the Cashier’s Office.

Salary Schedule: E3 04

Essential Duties and Responsibilities

  • Provide excellent customer service to all internal and external customers.
  • Analyze student accounts to determine proper refund calculation.
  • Answer customer questions by telephone and email as assigned.
  • Prepare student, faculty, and staff identification cards.
  • Review vehicle registration information, record, and distribute decals.
  • Assist with records retention and disposal.
  • Work with Business Services Reconciliation Office to reissue student refunds.
  • Assist students with payments on their accounts.
  • Prepare invoices for student accounts.
  • Place and remove holds on student accounts as needed.
  • Serve as liaison between the College and collection agency.
  • Prepare and submit all past due accounts to collection agency.
  • Receive payments for student accounts that have previously been written off.
  • Receipt collection payments as they are received and balance back to the collection agency.
  • Distribute paychecks and check stubs monthly for non-direct deposited items.
  • Receive and record all College funds in TouchNet cashiering system.
  • Prepare bank deposit for review daily.
  • Process cash advance forms, receipts, and any unspent funds.
  • Reconcile daily cash drawer activity.
  • Maintain Cashier’s Office files.
  • Deliver Business Services mail.
  • Add and remove Business Services holds as needed.
  • Assist with notifying students of balances due.
  • Verify identity of payees and distribute checks for pickup.
  • Assist students with enrolling in eRefunds.
  • Scan correspondence and other documentation as needed to student accounts
  • Adjust student print balances as needed.
  • Apply PACT to student accounts as requested.

  • Demonstrate the highest standards of confidentiality, ethics, loyalty, honesty and integrity.

  • Work well under pressure and with others to meet deadlines.
  • Work independently on difficult and complex tasks.
Other Job Duties and Responsibilities:
  • Comply with policies of the Alabama Community College System and the College.
  • Serve on College committees as required.
  • Participate in professional development, compliance, performance excellence, and training activities as required.
  • Perform other duties as assigned by the Business Office Manager and Regional Chief Financial Officer.

Qualifications

Required Minimum Qualifications:


  • High school diploma, GED, or higher degree, and three (3) years of cashiering experience in an educational, governmental, or financial institution; OR
  • Bachelor's degree, or higher, and five (5) years of cashiering experience.
Preferred Qualifications:
  • Experience in a community college.
  • Experience with Banner and/or Touch/Net .
Required Knowledge, Skills, & Abilities:
  • Ability to effectively communicate in writing and orally.
  • Ability to use the telephone and to fax and e-mail information effectively.
  • Ability to understand moderately complex oral and written instructions.
  • Ability to plan, organize, and manage multi tasks.
  • Ability to work well under pressure.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Further retirement benefits may be found on this page under Alabama Teacher's Retirement.

Up to 10 days a year of professional development leave with pay may be granted by the President.

Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. The TRS is a defined benefit plan qualified under Section 401(a) of the Internal Revenue Code. All regular full-time and part-time employees (non-temporary and non- student) who work at least 20 hours per week are required to participate in The Teachers' Retirement System of Alabama.
Tier I - Pays 7.50% monthly. State matches 13.57% (effective 10/01/24)
Tier II – Pays 6.20% monthly. State matches 12.60% (effective 10/01/24)
Law Enforcement Officers:
Tier I-Pays 8.50% monthly. State matches 13.57% (effective 10/01/24)
Tier II- Pays 7.20% monthly. State matches 12.60% (effective 10/01/24)

Health Insurance
PEEHIP, established in 1983, provides health insurance benefits for active and retired education employees and is governed by the PEEHIP Board of Control.
