Job Summary:
Responsible for registering patients, monitoring referrals, collecting copays and scheduling appointments.

Essential Duties and Responsibilities:

  • Registers patients by gathering, verifying and entering in demographic and insurance information.
  • Obtains signed registration sheets, permissions to file claims, releases, etc.
  • Reviews schedules for referrals needed, obtains those that the office takes responsibility for and works with patients to obtain others.
  • Verifies insurance for upcoming appointments.
  • Collects copayments and personal payments.
  • Prepares day sheet and balances cash drawer each day.
  • Handles inquiries about insurances accepted, office hours, services, locations, exam fees, doctor information, etc.
  • Verifies upcoming appointments.
  • Assists other patient service staff as needed.
  • Greets patients promptly and professionally.
  • Properly triages patients and visitors.
  • Responds easily to routine requests for information.
  • Maintains patient confidentiality at all times and communicates with the Compliance Officer regarding procedural changes and concerns.
  • Participates in professional development efforts to remain current on insurance coverages and regulation matters.
  • Cooperates and communicates with all Physicians, Professionals, and associates about patient matters.
  • Issues proper receipts and maintains a balanced drawer.
  • Schedules all provider appointments, including scheduling and, when necessary, coordinating ancillary testing and ensuring pre-certs and prior authorizations are received.
  • Cancels and handles no-show appointments according to established process.
  • Greets the patient, verifying all personal information (address, telephone, etc.), method of payment and insurance, collecting copayment when applicable, entering necessary information into computer system and providing any requested information to patients.
  • Communicates any expected delays to patient.
  • Works with patients, families and/or staff in handling and resolving problems that occur during their visit.
  • Requests, prepares and ensures the completeness of the patient medical record.
  • Collects and makes change for payments received, completes receipt for patient and follows appropriate paperwork to record transaction.
  • Compares daily cash amounts against daily transactions to ensure that records balance.
  • Verifies and coordinates patient referrals.
  • Effectively utilizes all appropriate applications of the EMA computer systems.
  • Prepares accurate billing documents utilizing knowledge of ICD-9, CPT-4 coding and managed care plans.
  • Answers multi-line phone system, handles and/or directs call to appropriate area and places calls as requested by Manager.
  • Effectively manages dynamic, potentially stressful patient encounters.
  • Maintains the general appearance of the waiting room or reception area, and straightens magazines, chairs and other light furniture.
  • Maintains working knowledge of all office equipment, fax, copiers, phones, etc.
  • Participates in service monitors and quality improvement programs.
  • Uses excellent patient relations skills in all interactions with patients, visitors and staff.
  • Strong alphabetization and spelling skills a must.
  • File charts.
  • Pull charts.
  • Prepares charts for appointments.
  • Make reminder telephone calls for appointments.
  • Sends out reminder recall letters.
  • Sends out pre-booked letters.
  • Ensures bank deposits are taken to the bank daily.
  • Uploads transcription daily as needed.
  • Downloads transcription daily as needed and places in charts in a timely manner.

Minimum Education Requirements

  • High school diploma or GED.

Physical Demands

  • The physical dexterity to operate computer equipment and other complex office machinery is required.
  • Must have manual dexterity to file.
  • This position needs to frequently and repetitively move about the inside of the office and position self to access files, cabinets, office machinery, etc.
  • Must be able to read and write.
  • Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus
  • Adequate near, and far vision (for driving) required.
  • Adequate depth perception (driving) required.
  • Must be able to frequently communicate on a multi-line phone as well as face-to-face with patients and staff.

Job Type: Full-time

Pay: $29,000.00 - $31,000.00 per year
