What are the responsibilities and job description for the Front Office Receptionist position at Tri County Veterinary Services?
We are looking for a responsible Receptionist to perform a variety of administrative and clerical tasks. Duties of the Receptionist include providing support to our doctor and employees, assisting in daily office needs and managing our company’s general office activities. Receptionist responsibilities include answering phones, check in, check out, scheduling appointments, communicating client concerns with veterinarians, and preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Must be comfortable around animals and willing to be cross-trained in all areas of clinic.
Responsibilities
- First point of contact with clients, answering and directing calls.
- Perform client transactions
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, faxes and forms
- Maintain and update filing systems as needed
- Provide general support to visitors
- Assist in clinical setting of practice including x-ray, assessments, and prescription refills.
Skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional experience as a Receptionist or Front Office staff will be a plus
