Description
The Facility Support Specialist plays a critical role in ensuring that all Tri Delta properties and their operations run smoothly and efficiently. This position is responsible for collaborating and coordinating with on-site facility House Directors, Regional Property Managers, and service providers to maintain a safe, clean, and functional environment for our members. The Facility Support Specialist works to implement property related repairs, maintenance, and capital improvements to consistently offer a matchless housing experience. They work in a dedicated region and with a team of service providers, Housing Team members, and on-site staff to ensure Tri Delta homes function well, look great and provide a home away from home for Tri Delta members. We are looking for someone who is able to prioritize tasks efficiently, highly organized, and strong in written and verbal communication.
This position is eligible for the following benefits: medical, dental, vision, retirement plan, paid time off, and other ancillary benefits.
- Status: Full-time, remote eligible
- Travel: Up to 30%
- Supervised by: Facility Support Manager
Responsibilities will include, but are not limited to, the following:
- Facility Support
- Manage safe, comfortable and competitive properties in which Tri Delta members live, learn and lead according to Tri Delta’s Purpose.
- Collaborate with the dedicated Regional Property Manager and House Director to address all facility maintenance needs.
- Partner with Regional Property Manager and insurance carrier on any property losses or insurance claims related repairs/restorations.
- Ensure on-site House Directors are completing required safety inspections to remain in compliance with fire, safety, and health regulations.
- Responds to emergency maintenance requests and takes proactive steps to prevent safety hazards.
- Technology
- Utilize the facility management software and ticketing system to oversee the full life cycle of needed maintenance or repairs.
- Ensure timely follow up with vendors and staff to ensure minimal disruption or suspension of services
- Support the property transition process with local house corporations to document vendor relationships, understand facilities needs and integrate the facility into property management software.
- Project Management
- Manage the successful and timely completion of ongoing maintenance and repairs of building and mechanical systems, with a focus on ensuring member and employee safety.
- Assist with facility opening and closing processes, including implementing and documenting room damage assessments and coordinating corrective maintenance.
- Collaborate with housing team to plan capital improvement projects and large repair projects based on facility maintenance schedule, facility needs, and long-term capital investment plans.
- Vendor & Contract Management
- Liaise with vendors and contractors for services such as janitorial, HVAC, pest control, and others.
- Review, submit and approve invoices and repair deposits within established budget.
- Operationalize and maintain vendor relationships for all facility repairs.
- Attend annual housing conferences as requested by the Facility Support Manager.
Qualifications
Required qualifications include:
- 1-2 years of related experience
- Bachelor’s degree from an accredited college or university
- Familiarity with proactive and reactive facility management, vendor relations, real estate acumen, capital improvements, facility regulations and safety standards
- Strong written and verbal communication
Ideal qualifications include:
- 1-2 years of vendor management experience
- Experience utilizing facility management software
