THIS CAN BE A PART-TIME OR FULL-TIME POSITION


We are seeking a highly organized and efficient Administrative Assistant to join our team. The Administrative Assistant will be responsible for providing administrative support to the team, including answering phones/scheduling jobs, data entry, billing, accounting/Quick Books entries, inventory, record-keeping, accounts receivable, correspondence, sales, scheduling meetings and handling a variety of tasks to ensure the smooth operation of the office. The successful candidate will have strong communication and typing skills and be able to work efficiently in a fast-paced environment. Familiarity with Microsoft Office programs and QuickBooks is a plus!



Responsibilities:



  • Manage calendars and schedules for the team, including coordinating meetings and appointments

  • Answer phone calls and respond to emails in a timely and professional manner

  • Greet and assist visitors and customers

  • Handle incoming and outgoing mail and packages

  • File and maintain electronic and hard copy documents

  • Inventory Tracking/Ordering

  • Data & QuickBooks entries
  • Other duties as assigned



Qualifications:



  • Previous experience as an administrative assistant or in a similar role is preferred

  • Strong communication and interpersonal skills

  • Proficiency with computer systems and software, such as Microsoft Office, QuickBooks and email

  • Excellent organization and time management skills

  • Ability to multitask and handle a high-volume workload

  • Fluency in English is required
