Overview
We are seeking a highly organized and motivated Receptionist/Secretary to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong time management skills and the ability to multitask in a fast-paced environment. A successful Receptionist/Secretary will demonstrate proficiency in data entry, clerical duties, and office management, ensuring smooth daily operations.

Responsibilities

  • Greet and assist visitors in a friendly and professional manner.
  • Answer phone calls, take messages, and direct inquiries to appropriate personnel.
  • Perform data entry tasks accurately and efficiently using computerized systems.
  • Maintain organized filing systems for documents and records.
  • Assist with scheduling appointments and managing calendars for staff.
  • Proofread documents for accuracy and clarity before distribution.
  • Handle clerical tasks such as typing correspondence, reports, and memos.
  • Support administrative functions by preparing materials for meetings and presentations.
  • Ensure the reception area is tidy and welcoming at all times.
  • Collaborate with team members to enhance office efficiency.
  • Run Payroll
  • Call forwarding

Qualifications

  • Proven experience as a receptionist or in a similar administrative role is preferred.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Bilingual abilities are a plus, enhancing communication with diverse clients.
  • Attention to detail with strong proofreading capabilities to ensure document accuracy.
  • Ability to work independently as well as part of a team in a dynamic environment.
  • Familiarity with office equipment such as printers, copiers, and fax machines is desirable.
  • Strong interpersonal skills with the ability to communicate clearly both verbally and in writing.

Job Type: Part-time

Pay: $15.35 - $17.00 per hour

Expected hours: 20 per week
