We are seeking a highly organized and professional Front Desk Receptionist to join our healthcare team. This role is essential for providing excellent patient service and supporting the daily operations of our medical office. The Front Desk Receptionist will manage patient check-ins and check-outs, appointment scheduling, insurance verification, billing, and other administrative tasks to ensure a smooth, efficient, and welcoming experience for our patients.
Key Responsibilities:
- Patient Check-in/Check-out:
- Greet patients upon arrival with a friendly and professional demeanor.
- Verify patient information, collect necessary paperwork, and ensure patient records are up to date.
- Efficiently check patients out after appointments, ensuring all services are recorded and billing information is accurate.
- Appointment Scheduling:
- Manage appointment scheduling via phone calls, online booking systems, and coordination with medical providers.
- Ensure efficient patient flow by optimizing the schedule and addressing appointment conflicts.
- Insurance Verification:
- Verify patient insurance coverage and eligibility before appointments.
- Obtain necessary pre-authorizations for services as required by insurance policies.
- Patient Registration:
- Collect patient demographics, including contact information, medical history, and insurance details.
- Accurately update and maintain patient records in the Electronic Medical Records (EMR) system.
- Phone Management:
- Answer incoming phone calls, direct calls to the appropriate staff, and take messages when necessary.
- Schedule appointments over the phone and assist with patient inquiries.
- Billing and Payments:
- Collect patient co-pays and process patient payments at the time of service.
- Address billing inquiries and provide assistance with payment-related concerns.
- Front Desk Maintenance:
- Maintain a clean, organized, and welcoming front desk area.
- Ensure that the patient waiting area is comfortable, stocked with necessary materials, and free of clutter.
- Administrative Tasks:
- Complete administrative tasks such as filing patient records, preparing patient charts, and ensuring necessary forms are available.
- Send reminder calls to patients regarding upcoming appointments.
- Assist with general office management duties as required.
Qualifications:
- High school diploma or equivalent; additional education or certifications in healthcare administration is a plus.
- Prior experience in a medical or healthcare office environment preferred.
- Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
- Strong organizational skills and the ability to handle multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite and familiarity with Electronic Medical Records (EMR) systems.
- Knowledge of insurance verification processes and medical billing practices is a plus.
- Ability to maintain patient confidentiality in accordance with HIPAA guidelines.
- Positive attitude, strong work ethic, and excellent customer service skills.
