Job Summary 


The Executive Assistant/Office Manager provides high-level administrative support to executives while managing the front office operations. This role ensures seamless coordination of schedules, communications, and office functions, acting as a central point of contact for both internal and external stakeholders. The Executive Assistant/Receptionist plays a critical role in maintaining a professional and efficient work environment. 


 


Primary Responsibilities 


  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements. 
  • Screen and prioritize incoming communications, including phone calls, emails, and correspondence. 
  • Greet and assist visitors, ensuring a professional and welcoming experience. 
  • Prepare and edit reports, presentations, and meeting materials as needed. 
  • Coordinate and support company events, meetings, and conferences. 
  • Maintain office supplies inventory and order replenishments as necessary. 
  • Handle confidential information with discretion and professionalism. 
  • Perform general clerical duties, including filing, photocopying, and recordkeeping. 
  • Serve as the first point of contact for office-related inquiries and issues. 
  • Support special projects and initiatives as assigned by the Director of Operations or executives.

Required Education, Skills, and Experience 


  • High School Diploma or equivalent (Associate’s Degree preferred). 
  • Minimum of 3-5 years of experience in administrative or executive support roles. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Strong organizational and multitasking skills. 
  • Excellent verbal and written communication abilities. 
  • Ability to handle confidential information with discretion. 
  • Professional demeanor and customer service orientation.
