Job Title : Administrative & Facilities Coordinator
Location : Universal City, CA
Type : 6-Month Contract (W2)
Schedule :
Wednesday – Friday : 10 : 00 AM – 7 : 00 PM
Saturday – Sunday : 8 : 00 AM – 5 : 00 PM
Qualifications
Required Skills & Experience :
Organizational & Multitasking Abilities : Ability to manage multiple priorities in a fast-paced environment.
Experience : Minimum 3-5 years in a clerical / administrative role; property / facilities management experience highly preferred.
Technical Skills : Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
Communication : Strong verbal and written communication skills; ability to provide clear, proactive updates and address facility-related concerns.
Detail-Oriented & Proactive Approach : Strong attention to detail with the ability to anticipate needs and resolve issues efficiently.
Administrative / Facilities Experience : Prior experience in administrative support, project coordination, or facilities management in a high-speed setting is beneficial.
Key Responsibilities
Administrative Support : Facilitate communication between stakeholders, customers, and service teams while providing general administrative support.
Project Coordination & Tracking : Maintain and manage project trackers, ensuring timely follow-ups and task completion.
Documentation & Reporting : Take comprehensive meeting notes, organize project records, and keep information up to date.
Follow-Up & Accountability : Proactively track deliverables and ensure timely updates with stakeholders and clients.
Facility Support & Maintenance Coordination : Handle facilities requests, respond to inquiries, coordinate maintenance, and oversee minor repairs to completion.
Performance Expectations
Timely & Accurate Tracking : Ensure all deliverables are documented and completed as scheduled.
Efficient Facility Support : Promptly handle requests to ensure smooth facility operations.
Responsive & Effective Communication : Provide timely updates and follow through on all assigned tasks.
