JOB SUMMARY:
The Receptionist is the first point of reference for individuals, constituents, and volunteers seeking to engage with our organization and, as such, s/he is responsible for setting the tone for our culture in all communications and interactions. This role is an opportunity for the right individual to have an alternative schedule that allows for a work/personal life balance.
ESSENTIAL FUNCTIONS:
- Represents the Trident United Way culture of caring to the general public through activities related to the administration of guest, vendor, volunteer and employee relations
- Greets guests, vendors and volunteers and directs them in accordance with the issue at hand
- Takes and processes FoodShare Berkeley orders
- Maintains clear line of sight to front entrance for greeting and security purposes
- Receives and screens calls before directing them to the appropriate offices and/or entities and/or services
- Provides administrative and clerical support when requested to include but not limited to photocopying of documents, data entry, creating of documentation, maintenance of TUW phone etc.
- Receives incoming mail/deliveries and notifies recipients of incoming mail/deliveries via phone or e-mail that mail is ready to be picked up at front desk, within a reasonable amount of time
ADDITIONAL RESPONSIBILITIES:
- Answers general inquiries and obtains information requested by general public or refers to appropriate staff member
- Maintains safe and clean reception area by complying with procedures, rules, and regulations
- Coordinates front desk coverage schedule proactively, ensuring desk is covered at all times.
- Support the organization’s copier maintenance and office machines Assists with the organizational mail/package, pickups, mass mailings, etc. as requested
QUALIFICATIONS:
Experience:
- Two years of experience in an administrative support role/office environment
Skills:
- Mission focused with a friendly and professional demeanor
- Detail Oriented
- Application of critical thinking skills
- Ability to operate multi-line switchboard
- Excellent telephone and interpersonal skills
- Ability to effectively communicate orally and in writing
- Ability to adapt to frequently changing priorities
- Proficient with office various types of office equipment
- Proficient in Microsoft Suite, Adobe Pro and Outlook
- Positive attitude and willing to be a team member
- Have fun and enjoy the position
PHYSICAL DEMANDS OF JOB:
- Exertion of up to 30 pounds of force occasionally, and/or a negligible amount of force constantly to move objects, within the office setting and relating to the position
- Must frequently use typical office equipment (telephone, multifunctional devices, postage meter, etc.)
- Most of time spent sitting at desk
- Communicates with constituents, staff, volunteers, board members and/or partners by phone and in person
- Upon request may have to occasionally be mobile within the office
WORK ENVIRONMENT:
- Primarily works in a climate-controlled office-based setting
WORK SCHEDULE:
- 20-25 hours per week; to be determined by BRCC Manager
