Job Overview:
The role involves performing clerical duties such as interpreting scheduling requests, scheduling appointments and tests, and maintaining medical records for participants, both internally and externally with various providers and areas of specialty. This includes coordinating the scheduling of participants within multiple departments, including nursing, transportation, and therapy, across three different sites. Strong interpersonal skills are necessary to communicate with respect and compassion to customers. Information is communicated through various telecommunication devices, including Epic, Misys, and Outlook. The role assists in coordinating participant flow concerning appointments and tests and supports physicians in the examination and treatment of patients by performing miscellaneous delegated duties. Responsibilities also include interviewing patients, measuring vital signs (pulse rate, temperature, blood pressure, weight, and height), recording information on patients' charts, and preparing treatment rooms for examination. The position requires cross-training to perform duties that enhance the efficiency and continuity of patient care, working cooperatively within the team, demonstrating flexibility, motivation, and commitment to quality patient care. Tasks include patient-related duties, medical record maintenance/documentation, and safety/environmental duties.
Work hours and Locations:
- Full-time, 80 hours bi-weekly.
- Day shift from 8:00 AM to 4:30 PM
- Monday, Wednesday, and Thursday in our office at 10506B Montgomery Road, #501, Cincinnati, OH 45242
- Tuesday and Friday in our office at 100 Arrow Springs Blvd, Suite 2000, Lebanon, OH 45036
- No weekends or holiday commitment.
Minimum Job Requirements:
- High School Degree and Healthcare degree
- Clerical background with general computer skills and knowledge in medical terminology
- Experience with EKG, Injections, and Venipuncture
- Performance of common lab tests according to established CLIA guidelines and TriHealth policy
- Experience in a medical/physician office setting is required
- Willingness to work regularly for covering at Western Ridge and Montgomery office areas.

Job Responsibilities:
- Perform all responsibilities related to scheduling participants for specialist and routine appointments, both internally and externally with various providers and areas of specialty. Coordinate scheduling within multiple departments internally, including nursing, transportation, and therapy across three different sites. Follow all scheduling procedures and complete scheduling paperwork accurately and timely. Communicate appropriately with customers, transportation, and other departments.
- Demonstrate strong customer service skills and appropriate judgment related to phone and in-person interactions. Answer phone calls promptly and courteously pertaining to setting up appointments. Relay accurate and complete messages to the appropriate person.
- Demonstrate organizational skills in managing participant appointments/tests/procedures and ensure a smooth and thorough process.
- Ensure all medical records are retrieved from outside providers and forward information to the medical records department for scanning purposes.
- Exhibit a professional image and behavior toward patients, visitors, physicians, and employees, creating a positive impression consistent with professional etiquette. Demonstrate proficiency in assisting with medical procedures on adults and children.
- Show flexibility and/or initiative in seeking or accepting additional assignments and a willingness to learn. Exhibit dependability in areas such as attendance, punctuality, and the timely performance of duties. Maintain the safety and cleanliness of the treatment area. Demonstrate knowledge of the principles of clean and sterile procedures in the use of medical equipment.
