POSITION SUMMARY:
The Executive Assistant reports to the President
Located in Mansfield, MA

The Executive Assistant provides high-level administrative support to executives or senior management within the organization. The Executive Assistant assists in managing the day-to-day operations of the executive's office, handling a wide range of administrative tasks, and facilitating effective communication between the executive and internal/external stakeholders. This role requires strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
Calendar Management:
Manage and maintain executives' calendars, including scheduling appointments, meetings, and conferences.
Coordinate travel arrangements, accommodations, and itineraries for business trips.
Communication Coordination:
Serve as a primary point of contact for the executive, screening and prioritizing incoming calls, emails, and correspondence.
Facilitate internal and external communication, including drafting and editing emails, letters, memos, and reports on behalf of the executive.
Meeting Coordination:
Coordinate logistics for meetings, including room setup, agenda preparation, and distribution of materials.
Attend meetings as required, take minutes, and follow up on action items as needed.
Document Preparation:
Prepare and edit documents, presentations, and reports as requested by the executive, ensuring accuracy and professionalism.
Maintain organized and up-to-date files and records, both electronically and in hard copy.
Administrative Support:
Provide general administrative support, including managing office supplies, processing expenses, and handling incoming mail and deliveries.
Assist with special projects and initiatives as assigned by the executive or senior management team.

QUALIFICATIONS & EXPERIENCE:
Bachelor's degree in Business Administration, Office Management, or a related field, or equivalent military or practical experience.
2 – 4 years of experience in an administrative or executive support role.
Experience working in a fast-paced environment and managing multiple priorities.
Familiarity with office equipment and technology, including copiers, printers, and teleconferencing systems.
Advanced roficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
Ability to successfully pass a background check post offer acceptance.
