Job Summary:
The Senior Associate, Administrative Services will play a critical role in supporting the efficient operation of our office by providing administrative assistance and coordinating various tasks. Our future team member will have strong organizational skills, excellent communication abilities, and a dedication to delivering high-quality service.
Responsibilities:
- Handle daily administrative tasks, including phone calls, emails, and correspondence management
- Maintain office supplies, troubleshoot equipment issues, and coordinate repairs with vendors
- Schedule appointments, meetings, and conference calls, managing logistics and reminders
- Oversee the fire warden program in Atlanta and support departmental logistics
- Suggest policy and procedure changes to improve cost efficiency and effectiveness
- Process incoming invoices from vendors and suppliers promptly and accurately
- Ensure compliance with health, safety regulations, and emergency procedures
- Maintain accurate filing systems for documents and confidential information
- Support data entry and recordkeeping tasks, updating databases as needed
- Assist with event planning, including logistics, catering, and attendee management
- Handle ad hoc tasks and projects as assigned by management
- Act as the primary contact with the property manager
- Respond to emails and support center tickets
- In addition to primary job duties, the employee may be required to fulfill backup responsibilities including; visitor management, mail management, facility maintenance
Required Qualifications:
- 3 years prior work experience is a plus
- Utilize office tools such as computers, photocopiers, postal devices, and telephones to enhance collaborative efficiency and support team interactions
- Apply strong planning and organizational skills, along with attention to detail, to contribute effectively to team projects and initiatives
- Leverage a working knowledge of the Microsoft Office suite to facilitate seamless communication and collaboration
- Manage multiple projects simultaneously, prioritizing tasks to support team goals and strengthen working relationships
- Commit to continuous learning, sharing new knowledge and skills to benefit the team and foster collective growth
- Communicate exceptionally well, conveying information clearly and effectively to build and maintain strong working relationships
