Position Overview:
We are seeking an experienced Office Manager to oversee the day-to-day administrative operations of our office. The ideal candidate will be responsible for managing office supplies, coordinating meetings, handling communication, supporting financial tasks, and maintaining office equipment and safety. This position is key to maintaining an organized, efficient work environment, contributing to the overall success of Trinity Care.
Key Responsibilities:
Office Operations
o Ensure smooth daily operations to maintain a productive, well-organized office.
o Manage office supplies, inventory and vendor relationships.
o Coordinate and schedule meetings, appointments and events.
o Oversee office equipment and manage repairs or maintenance needs.
Administrative Support
o Provide general administrative assistance to staff and leadership.
o Prepare reports, presentations, and correspondence for meetings and/or projects.
o Manage internal and external communications, including phone, email and mail handling.
Financial Administration
o Assist with invoicing, budgeting and expense tracking for office-related expenses.
o Maintain financial records related to office operations.
Health & Safety Compliance
o Ensure compliance with health and safety regulations.
o Maintain emergency protocols, safety signage and first aid supplies.
Team Coordination & Support
o Act as the first point of contact for office-related queries or concerns.
o Support employee well-being initiatives and promote a positive work environment.
· Other duties as assigned
Qualifications:
· Proven experience as an Office Manager or in a similar administrative role.
· Minimum of a High School diploma or equivalent.
· Strong organizational skills and the ability to multitask effectively.
· Proficiency in office management software (Microsoft Office, Google Suite, etc.).
· Excellent communication and interpersonal skills.
· Ability to work independently and collaborate effectively with team members.
