We are seeking an experienced and highly skilled Medical Office Manager to manage and oversee the daily operations of our medical office. The ideal candidate will have a strong background in healthcare management, with expertise in revenue cycle management and proficiency in EHR systems and practice management software. As the Medical Office Manager, you will be responsible for streamlining office workflows, ensuring financial success, improving patient care processes, and managing a dedicated team. This role requires exceptional leadership, organizational, and communication skills to ensure the highest level of operational efficiency and patient satisfaction.
- Key Responsibilities:
- Oversee the daily operations of the medical office, ensuring efficiency, productivity, and smooth patient care delivery.
- Manage and improve the revenue cycle, including billing, coding, collections, and insurance verification processes.
- Develop, implement, and review operational policies and procedures to ensure compliance and improve overall office effectiveness.
- Supervise and provide leadership to administrative and clinical staff, fostering a positive and collaborative work environment.
- Ensure all staff are properly trained on office systems, patient care procedures, and regulatory compliance.
- Manage practice management software and Electronic Health Record (EHR) systems, ensuring accuracy and proper documentation across all processes.
- Collaborate with healthcare providers, staff, and leadership to improve patient care processes, operational workflows, and financial outcomes.
- Monitor financial performance, including budgeting, forecasting, and analyzing revenue cycle metrics to optimize revenue generation and operational costs.
- Handle patient concerns or complaints efficiently, maintaining a high level of patient satisfaction.
- Track key performance indicators (KPIs) and implement solutions to enhance performance and office operations.
- Develop and manage relationships with vendors, suppliers, and third-party service providers.
- Ensure the office complies with all healthcare regulations, including HIPAA, OSHA, and other relevant industry standards.
- Coordinate with senior management to develop and execute strategic initiatives that align with the office’s goals.
Qualifications:
- Bachelor’s degree in Healthcare Administration, Business, or a related field.
- Prior experience in healthcare management, preferably in a private practice setting.
- Strong knowledge of revenue cycle management, including billing, coding, and insurance claims processing.
- Proficiency in EHR systems and practice management software (e.g., Epic, Cerner, Athenahealth, etc.).
- Exceptional organizational, problem-solving, and leadership skills.
- Excellent interpersonal and communication abilities, with the ability to engage and motivate staff effectively.
- Strong attention to detail, multitasking ability, and the ability to manage competing priorities in a fast-paced environment.
- Knowledge of healthcare regulations and compliance requirements, including HIPAA, OSHA, and others.
