POSITION DESCRIPTION:
The IT Project Manager provides project management support for the successful implementation and ongoing support for high priority projects within IHA’s Information Systems (IS) Department, which includes traditional IT systems implementations and also IT support for acquisitions, new office openings, office mergers and other organizational changes. This role will be responsible for assigned full cycle management of key Information Systems department projects, ensuring that complete project plans are developed and communicated and that milestones and deadlines are met.
ESSENTIAL JOB FUNCTIONS:
- Provides leadership and direction through an effective, clear and well-managed project plan for key and highly visible IS projects which are essential to ensuring the success of established IHA Priorities.
- Provides project management support for key and high visibility Information Systems department projects with establishment of well-developed and communicated project plans, analysis of data, development and dissemination of relevant reports and coordination of meetings, all of which ensures that milestones and/or key deadlines are met or exceeded.
- Serves as the lead for meeting planning and agenda development; manages meetings, identifies / allocates resources needed to achieve desired outcomes. Responsible for follow-up tracking and retention of meeting minutes.
- Leads the planning and activation of new IS projects including tracking and initiation, confirming objectives, scope, approach, stakeholders, deliverables, milestones, workplan, team members and budget.
- Gathers, researches and compiles background or other relevant information to support high-level or complex IS projects; compiles in a usable format for review and analysis.
- Coordinates and oversees projects as assigned. Manages completion of project activities, holding others accountable for assigned tasks, deadlines, etc.
- Controls scope. Delivers change management, issue resolution, risk management and status reporting.
- Analyzes, prepares and presents graphical representations relating to project status and interprets findings.
- Updates project plans on regular basis.
- Plans, conducts and manages multiple projects and assignments as necessary.
- Reviews business processes as appropriate to guide project management and development.
- Develops implementation strategies and training plans for assigned projects.
- Confirms work in process and final product through informal and formal reviews and approvals.
- Manages communications, relationships and expectations throughout the project.
- Proactively identifies and raises issues; makes recommendations.
- Provides guidance for analytic and data analysis to support project.
- All other duties as assigned.

ESSENTIAL QUALIFICATIONS:
EDUCATION: Bachelor’s Degree in Healthcare Administration, Information Technology or related field required with a Master’s Degree preferred.
CREDENTIALS/LICENSURE: PMP certification is preferred.
MINIMUM EXPERIENCE: Previous experience successfully leading high profile organizational projects, demonstrated background in project management and providing leadership support in a healthcare environment. Ability to navigate Project Management applications, present complex analyses, technical writing experience and previous background working in a matrix managed organization.
POSITION REQUIREMENTS (ABILITIES & SKILLS):
- Knowledge of industry-appropriate terms generally used in project management.
- High-level of proficiency in operating a standard desktop and Windows-based computer system, including but not limited to, Project Management applications, electronic medical records/templates, NextGen, Epic, Microsoft Office (Excel, Access, Outlook, Word, PowerPoint), email, e-learning, intranet and computer navigation.
- High-level of proficiency working with complex work system upgrades, to include EMR conversions, new or updated software conversions, with the ability to effectively understand terminology and processes utilized to ensure successful project completion.
- Experience managing IT support for acquisitions, new office openings, office mergers and other organizational changes which may include WAN, LAN, WiFi, computers, phones, printers, copiers, user lists, training and planning for Day 1 activities.
- Proficient at data analysis and high level of proficiency with managing moderate to highly complex Information Systems projects ranging in scope from hardware to application updates.
- Ability to manage projects with general direction with a moderate degree of ambiguity.
- Ability to manage multiple projects simultaneously.
- Ability to identify key contacts for project success.
- Demonstrated ability to work independently and coordinate, direct and supervise the work of others.
- Excellent communication skills in both written and verbal forms, including proper phone etiquette, technical writing and ability to present complex analysis. Ability to write understandable and unambiguous projects.
- Ability to facilitate a group discussion before groups of people, either in-person or virtually, and effectively manage meetings.
- Aptitude to extract data and combine into meaningful end user reports; ability to analyze and interpret data and develop presentations, reports.
- Highly proficient in organizational and time management skills to effectively juggle multiple priorities, time constraints and ever-changing medical and operations situations.
- Demonstrated ability to exercise sound judgement, trouble-shooting and problem-solving skills, i.e., identifying complex problems, reviewing options and making appropriate recommendations based on the business case presented.
- Ability to reconcile differing points of view and influence others to reach consensus on difficult project issues.
- Ability to work independently and collaboratively in a team-oriented environment as a member of the Operations team. Possesses courteous and friendly demeanor.
- Ability to work effectively with various levels of organizational members and diverse populations including IHA staff and management, senior management group, site medical directors, division heads, providers, patients, family members, outside customers, vendors, hospitals and community groups.
- Ability to cross-train in other areas of practice/department in order to achieve smooth flow of all operations.
- Ability to perform mathematical calculations needed during the course of performing basic job duties.
- Knowledge of the compliance aspects of clinical care, patient privacy and best practices in medical office operations.
- Willing to gain an overall understanding of IHA structure and work flow processes throughout the organization and ability to provide analytic support for the company structure.
