Position Summary:
The Parish Administrator serves as a vital member of the church office, supporting the pastoral and administrative operations of Trinity Lutheran Church and Little Sonbeams Christian Preschool. This individual is responsible for a wide range of tasks, including managing church communications, maintaining church records, preparing worship and event materials, coordinating volunteers, and providing office support for various church programs. The position requires a high degree of organization, professionalism, and the ability to handle a variety of responsibilities with attention to detail.
Essential Duties and Responsibilities:
- Office and Administrative Support
- Perform computer tasks using MS Office and prepare various church documents.
- Sort, process, and distribute church mail.
- Act as the receptionist for the church and its associated activities.
- Maintain church records and files, preparing reports as required.
- Prepare and send out Trinity Talks via Constant Contact every Friday morning.
- Coordinate with maintenance staff, contractors, and sales representatives as needed.
- Order supplies and schedule regular inspections (e.g., sprinkler, fire alarm).
- Maintain office petty cash and submit regular reports to the Treasurer.
- Pick up the church’s bank bag weekly and manage related tasks.
- Assist with other duties as requested by Pastor or Church President.
- Worship and Service Support
- Prepare worship slides in Pro Presenter based on information provided by Pastor.
- Design and prepare slides for the welcome center (BrightSign) board and weekly service announcements.
- Coordinate weekly service attendance and update Church 360 for statistical reporting.
- Prepare church bulletins as required.
- Assist in planning and managing special services (e.g., Lent, Advent, funerals).
- Coordinate and communicate with volunteer readers, acolytes, altar guild members, and others to ensure service assignments are filled.
- Church Records and Member Management
- Maintain the Church 360 database, including updating addresses, phone numbers, and member status.
- Manage records for new members, transfers in and out, baptisms, confirmations, weddings, and funerals.
- Process member transfers (in/out), notifying the relevant parties (e.g., Pastor, Elder).
- Record statistics for the Southeastern District and LCMS, compiling attendance and outreach reports.
- Prepare certificates for baptisms, confirmations, weddings, and maintain records in official church documents and Church 360.
- Facility Coordination and Property Maintenance
- Maintain the Master Church Calendar and coordinate use of church facilities (e.g., Fellowship Hall, Sanctuary).
- Ensure proper procedures are followed for facility use by members and outside groups (e.g., sign-out keys, use forms, etc.).
- Manage security systems for access to church and preschool, ensuring safety protocols are followed.
- Volunteer and Team Coordination
- Coordinate volunteers for office projects and assist with scheduling substitutes for church services or committees.
- Assist with organizing and supporting church events, from weddings to community outreach activities.
- Communication and Reporting
- Prepare and send out communication materials for the congregation, such as newsletters, announcements, and event reminders.
- Maintain the accuracy of the church’s statistical and historical records in the official Red Book.[MOU1]
7. Little Sonbeams Christian Preschool
o Emergency backup person as classroom assistant teacher. Will require criminal background checks and fingerprints.
- Act as the receptionist for the preschool.
o Let preschool parents into church during school hours.
o Make copies of student worksheets as required.
o Build annual student registration packages.
Qualifications:
- Conduct personal life in accordance with Christian values.
- Highly organized and self-motivated with the ability to work independently and as part of a team.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and standard office equipment.
- Ability to manage multiple tasks and maintain a high level of detail in all administrative functions.
Requirements:
- High School Diploma or equivalent.
- Criminal background check to include fingerprints.
Physical Requirements:
- Ability to sit for extended periods, lift and carry items up to 25 lbs., and perform general office duties.
Work Schedule:
The Parish Administrator’s work schedule will primarily be Mondays through Fridays from 8:00 am until 2:00 pm, with occasional flexibility for special church events or meetings.
