Administrative Assistant to Congregation Life
Job Summary
Trinity's Administrative Assistant to Congregation Life is our front-of-office receptionist, providing welcome and assistance to those entering the church and phoning in. This person also produces and prints worship bulletins, manages new members and church membership, serves as staff support for church committees, cabinets, and other program staff, coordinates volunteers, and provides assistance with scheduling of events.
Essential Functions:
- Serves as main receptionist for the church; welcoming visitors and assisting with their needs
- Manages Trinity’s master calendar and the scheduling of events
- Manages and maintains church records and membership database
- Inputs weekly online giving records
- Provides administrative support to new member process, gathering info and coordinating events
- Composes and prints weekly and special worship bulletins as well as announcement insert and large print bulletins
- Serves as staff support for church committees, cabinets and other program staff
- Manages all incoming and outgoing mail for the church
- Recruits, coordinates and distributes volunteer schedules
- Communicates and coordinates prayers lists
- Manages bereavement and birthday card ministries
- Provides back-up to Administrative Assistant to Communications

Technical Expertise – familiar with Microsoft Word, Publisher, PowerPoint, Excel, Google docs and volunteer scheduling apps. Has capacity to learn new technologies and programs. Comfortable working with digital copy machines. Seeks answers and solutions when problems arise. Willingness to be cross trained in the duties of other support team members.
Supportive – values working on a team. Willing to lend skills and knowledge to help others be successful. Enjoys being a “behind the scene” person to accomplish the goals of the church.
Professional – is responsible and reliable. Respects the confidentiality of information shared by others. Takes ownership of own mistakes.
Time-Conscious – able to manage individual time as well of those in leadership. Versed in electronic calendar programs to set and track meetings.

Status: Full Time (40 hrs/wk)
Schedule: 8 hr/day, Mon-Fri
