The Administrative Assistant to support various departments and ensure smooth day-to-day operations. This role requires a detail-oriented individual who can multitask, coordinate across teams, and handle administrative functions efficiently. The responsibilities of this role include, but are not limited to, assisting with office management, communication, scheduling, and cross-functional collaboration.
- Manage daily office operations to ensure efficiency and organization.
- As the face of the business, greet visitors and check them in per Company policy.
- Maintain and organize both electronic and physical filing systems for various departments including Human Resources.
- Handle correspondence, emails, phone calls, and inquiries in a professional manner.
- Schedule meetings, appointments, and conference calls while managing calendars for executives and teams.
- Order and maintain inventory of office supplies, ensuring cost-effectiveness.
- Assist in planning and organizing company events, training sessions, and team meetings.
- Prepare reports, presentations, and business documents for leadership and various teams.
- Handle confidential information with discretion.
- Assist in travel arrangements and event planning
- Assist with internal communications and compliance documentation.
- Coordinate workflows between departments to improve efficiency.
- Assist in taking customer orders via email, phone or EDI, be an effective customer service team member.
- Handle customer inquiries and coordinate with internal teams for issue resolution.
- Support sales teams with client documentation, contracts, and CRM updates.
- Identify inefficiencies in administrative workflows and suggest process enhancements.
- Act as a liaison between departments to facilitate communication and project execution.
- Support cross-functional initiatives by tracking progress and coordinating resources.
- High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus
- Proven experience as an administrative assistant or similar role
- Excellent organizational and time management skills
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint)
