What are the responsibilities and job description for the Freight Audit Manager position at TrinityRail?
RSI Logistics, recently acquired by Trinity Industries , is hiring a Freight Invoice Manager . This role is accountable for the timely and accurate invoicing process of the company's transportation services. Acts as the subject matter expert and manager of the team that is the first point of contact for the transportation customer, manages vendor accounts, and resolves any billing problems or concerns, escalating as appropriate.
Essential Duties :
Manage the freight audit process and the team of freight audit administrators that perform the process. Steps involved in the freight audit process include but are not limited to :
Enter all manually received invoices accurately within 1 business day of receipt and apply GL coding where applicable
Dispute, assign or approve all unassigned EDI410 freight bills within 2 business days of receipt
Manage and monitor the group email inbox, respond to all emails within 2 hours
Monitor class 1 railroad websites to ensure all applicable invoices are entered in Rail Command® and RSInet
Follow railcar lease invoice process to ensure all invoices are accurate and have been received. Work with vendors when an invoice is missing or is not the expected dollar amount.
Verify all data is entered and accurate prior to weekly export cutoff time
Receive customer payment information, manipulate data to be imported to Rail Command® on a weekly basis
Reconcile all vendor accounts on a routine basis
Proactively manage credits and vendor relationships to ensure credits are properly applied
Track and monitor railcar abatement to ensure all credits are applied
Proactively monitor and address all issues entered on the 'issues log' that is shared with the customer.
Track and update the freight audit dashboard, share with customer weekly and proactively discuss improvement ideas
Lead weekly calls with the customer to review the status of freight audit activities
Create and manage departmental and client KPI's while fostering a continuous improvement environment
Monitor and balance workloads to ensure work is being accomplished in a timely and productive manner
Act as subject matter expert as it relates to the freight audit process, vendor management, and the systems used for this process
Maintain excellent relationships with clients, vendors, and internal customers, providing clear and concise information and direction.
Monitor issues, ensure mutual resolution, escalating to the Account Manager or Director of Client Success as required.
Manage the training process of new employees within department.
Qualifications
Education & Experience :
Bachelor's degree in Accounting or Business Administration
Five years of experience in transportation customer service billing and third-party logistics, including customer service
Prior Management experience
Other Knowledge, Skills & Abilities :
Strong attention to detail and accuracy.
Above average analytical and critical thinking skills.
Above average knowledge of Microsoft Excel.
Knowledge of principles and processes for providing customer and personal services. This includes assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications
Giving full attention to what other people are saying, taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
Understanding written sentences ad paragraphs in work related documents
Talking to others to convey information effectively.
Communicating effectively in writing as appropriate for the needs of the audience
