We are seeking a Client Relations and Project Support Coordinator to join our dynamic team. This is an exciting opportunity to work closely with clients, assist our project managers, and support our head designer. The ideal candidate will be highly professional, organized, have a solid understanding of construction, possess strong computer management program skills, and have experience writing reports. You will play a critical role in managing punch lists, coordinating with subcontractors, and ensuring that projects stay on track with quality and efficiency.

Job Responsibilities:

As a Client Relations and Project Support Coordinator at Trio, you will be responsible for maintaining strong client relationships, assisting with project management tasks, and supporting the head designer. Key responsibilities include:

  • Client Communication & Follow-Up: Act as the primary point of contact for clients, providing regular updates, addressing questions, and ensuring a high level of client satisfaction. Follow up diligently to ensure all client inquiries are handled promptly and effectively.
  • Punch List Management: With a solid understanding of construction, you will manage and track punch lists, ensuring that all items are completed to the highest quality and in a timely manner. You will collaborate closely with subcontractors to ensure that all tasks are handled efficiently and meet quality standards.
  • Subcontractor Coordination: Work directly with subcontractors, ensuring they are aware of project timelines, expectations, and quality standards. You'll be responsible for ensuring that all subcontracted tasks are completed on schedule and meet project specifications.
  • Project Support: Assist project managers with scheduling, progress tracking, and ensuring that all deadlines are met. Provide administrative support to maintain smooth project operations.
  • Design Assistance: Support the head designer by assisting with design decisions, client selections, preparing design documents, and ensuring that design elements are executed according to plan.
  • Organization & Documentation: Keep accurate records of project milestones, manage schedules, and ensure all necessary documentation is organized and up-to-date. You will be the go-to person for keeping everything well-organized and ensuring that tasks and documentation are in order.
  • Reporting & Updates: Provide clear, professional updates and reports to project managers, clients, and other team members. You will be responsible for writing regular reports to track project progress, identify any issues, and ensure alignment between all stakeholders.
  • Flexible Hours: Be available as needed in the mornings, evenings, or weekends to ensure project success, meet deadlines, or assist clients and subcontractors when required.

Qualifications:

The ideal candidate will have a solid understanding of construction, excellent communication skills, proficiency in computer management programs, experience writing reports, exceptional organizational skills, and flexibility in working hours. Key qualifications include:

  • Solid Construction Knowledge: A strong understanding of residential construction processes, materials, and quality standards is essential, particularly for managing punch lists and ensuring high-quality work.
  • Experience with Subcontractors: Previous experience working with subcontractors to coordinate schedules, ensure quality, and meet deadlines. Ability to manage subcontractor performance and communicate expectations effectively.
  • Strong Computer Management Skills: Proficiency in project management software, scheduling tools, and other computer management programs is critical for tracking project progress, budgets, schedules, and tasks efficiently.
  • Experience Writing Reports: You must have experience drafting detailed, clear, and professional reports, particularly for tracking project milestones, progress, and challenges. Strong writing skills are essential for maintaining accurate records and communicating effectively with clients and project teams.
  • Exceptional Writing & Communication Skills: Strong written and verbal communication skills are essential, particularly when drafting client updates, reports, and coordinating with subcontractors.
  • Strong Follow-Up Skills: Ability to follow up consistently and efficiently on tasks and client needs, ensuring that no detail is overlooked and deadlines are met.
  • Highly Organized and Detail-Oriented: A methodical, organized approach to managing tasks, schedules, and project documentation is critical. The ideal candidate must be able to manage multiple tasks at once and keep everything on track.
  • Experience in Project Coordination: Prior experience in project coordination, ideally within the construction or design industries, is preferred.
  • Design Support Experience: While not mandatory, an interest in design and the ability to assist the head designer with selections and documents is a plus.
  • Professionalism: You must maintain a high level of professionalism when interacting with clients, subcontractors, and team members.
  • Availability: You should be flexible and willing to work mornings, evenings, or weekends as needed to meet project deadlines, assist clients, or ensure tasks are completed on time.
