Legal Administrative Specialist II

Typical duties include:
  • Input case assignments into computer following Legal Files docketing work procedures (opening cases, initial calendaring, client letters, page by page discovery review for conflicts, updating case file, scanning and uploading discovery, updating credits, creating Notice of Appearance (NOA), creating and filing Notice of Withdrawal (NOW), E-filing & E-Serve documents, run Defendants Criminal History (DCH) and Electronic Court Record (ECR), updating name cards, transferring cases)
  • Screen each case for conflicts
  • Request case credit from DPD as needed
  • Open cases and distribute to assigned lawyers the same day assignment is received from DPD
  • Carefully monitor case assignments with the Division Supervisor
  • Process extra credits and debits daily
  • Maintain Master Calendar
  • Provide daily, monthly, and yearly reports to supervisors, as directed
  • Verify monthly reports from DPD, as needed
  • Close client case files and process closed files daily
  • Telephone coverage as needed
  • May obtain criminal history information from other jails or prisons via telephone, email, or regular mail
  • Perform other duties as assigned
Knowledge/Skills
  1. Knowledge of general office procedures, equipment and administration. Familiarity with legal office administration and criminal justice system preferred.
  2. Knowledge of legal procedures and court rules.
  3. Demonstrated proficiency with Microsoft Office products (Excel, Word, and Outlook), document management, and internet search engines.
  4. Demonstrated ability to maintain confidentiality and professionalism handling sensitive matters.
  5. Demonstrated communication skills and the ability to understand and execute verbal and written instructions.
  6. Requires initiative and accountability in work products and service, and the ability to follow-through on issues to completion.
  7. Excellent customer service skills including skill in communicating with people of diverse backgrounds.
  8. Skill in working with individuals from diverse backgrounds including victims, witnesses, clients and other court personnel in a tactful, diplomatic, patient and professional manner, who may be angry and/or difficult either in person and via telephone.
  9. Knowledge of basic mathematics and accounting.
  10. Keyboarding proficiency and accuracy.
  11. Initiative and accountability skills for work product or service; must be dependable, and willing to assist co-workers as needed.
  12. Ability to prioritize workload, work under pressure with tight timelines and changing priorities, and simultaneously work on multiple assignments.
  13. Demonstrated ability to maintain confidentiality and professionalism handling sensitive matters.
  14. Successful experience working and making decisions in a team environment, and functioning as a team member.
  15. Knowledge of Superior Court Management Information System (SCOMIS), Judicial Information System (JIS), and Electronic Case Records (ECR) preferred.
  16. Ability to lift/move up to 20 pounds.
  17. Fluency in a foreign language a plus. Spanish (not required)
  18. A valid Washington State driver's license
