Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our Tripp County Water User District office environment. The ideal candidate will possess strong administrative skills, exceptional organizational abilities, and a keen eye for detail. This role is pivotal in maintaining efficient office management, supervising staff, and managing schedules to support our team effectively.
Responsibilities
- Directly oversees the monthly water billing and works closely with Billing Clerk to ensure accurate records in the utility billing system.
- Responsible for all TCWUD financial accounts, business records and works with Accountant to ensure accurate financial statements.
- Works closely with and reports to District Manager.
- Position will work with Manager, Board of Directors, Attorney, Engineers, and other government entities. Will be required to work with auditor on annual audit.
- Works directly with customers regarding billing, water applications, easements and other needed District business.
- Will work with Operation's Manager and manage the water utility inventory.
- Oversee office supplies inventory and place orders as needed.
- Supervise two administrative staff and provide guidance on office procedures.
- Maintain organized filing systems for documents and records.
- Handle payroll processing and ensure timely payment for all employees.
- Coordinate calendar management and schedule meetings efficiently.
- Assist in budgeting processes to manage expenses effectively.
- Prepare monthly notices, agenda's and Board packets, attend meetings and take minutes. Work directly with Board of Directors to ensure information received.
- Responsible for maintaining all employee benefits and keeping files updated and accurate.
Requirements
- Proven experience in an administrative or office management role.
- Strong organizational skills with the ability to multitask effectively.
- Proficiency in calendar management and scheduling tools.
- Familiarity with payroll systems and budgeting processes is required.
- Must have valid driver's license and the ability to operate a motor vehicle, Motor Vehicle Record report will be required.
- Strong computer skills in Microsoft Office, Utility Billing and Map knowledge.
- Strong communication skills, both verbal and written, are essential.
- Some travel will be required with this position.
