Office AssistantRiver Grove, ILTriton College, a comprehensive two year institution located in a near western suburb of Chicago, is seeking an Office Assistant to join our team.Responsibilities : Performs general office support duties for an administrator, chairperson / coordinator, or department, where programs, policies, and procedures are fairly standardized and established and not subject to frequent or extensive change, which, once mastered, follow a general routine and predictable course.Perform general office support duties including answering telephone, greeting visitors, students, and / or employees, screening calls, taking messages, responding to voice or e-mail messages, referring individuals and inquires to appropriate personnel, and disseminating department or institution information as necessary.Complete routine and complex word processing duties such as preparing correspondence, reports, memos, meeting materials, presentations, etc. Edit materials for grammar and content, and proofread completed documents prior to distribution.Process faculty course assignmentsAttend meetings as needed. Type and distribute minutes.Maintain calendar for upcoming events, meetings, projects, and activities. Schedule appointments, and make travel arrangements.Prepare, process, and distribute College required paperwork, including forms, billings, work orders, requisitions, lists, authorizations, travel reimbursements, invoices, etc.Train, supervise, and direct student aides and hourly employees.Organize and maintain department records and files. Develop effective processes to retrieve and update files as necessary.Perform duties using data processing, data entry, database management, and other computer systems and software, which may include web page management, as required.Assist with event planning and coordination of various special events.Compile data and assist in the preparation of general and complex reports. Independently research a wide variety of complex information.Order supplies and maintain inventoryAssists students, faculty, staff, and the public with various tasks such as filling out forms correctly, class enrollment, work orders, etc.Performs other job-related duties as assigned by supervisor according to established practices, procedures, techniques, and standards.Qualifications : Education : High school diploma or equivalent with ability to read, perform basic arithmetic, and follow verbal and written instructions as required.Experience : One year of work experience in an office setting with demonstrated experience in word processing and office procedures.Skills : Ability to type at 60 wpm. Strong oral and written communication skills. Excellent customer service skills. Demonstrated computer skills including : Microsoft Office (Word, Excel, Access, Publisher), email, internet, and website maintenance.
