What are the responsibilities and job description for the Residential Remodeling Production Coordinator position at TriVistaUSA Design + Build?
We are a Northern Virginia Design Build remodeling company that is expanding. We like to say, "We do cool projects for cool people." Our projects are larger in scale and typically take a few months to a year to produce. We have a small tight-knit team that enjoys working together so for this next position, we really need to find the right fit.

RESPONSIBILITIES
- Use UDA (company construction software) as a tool to develop and implement schedules, budgets, punch lists etc.
- Review specs and construction documents to foresee any buildability issues
- Acquiring/organizing all documents necessary to obtain building permit with municipality for that job
- Develop and review scope check lists for individual trades for a project, with project manager, to help clarify and finalize scope items which are unclear or may be completed by multiple different trades
- Assist Project Managers by contacting manufacturers of products to ensure we will have everything we need to stay on schedule
- Perform and check material take offs to confirm material orders are accurate
- Reach out to the subcontractor market in the area to help develop a good list of subs for all trades on all projects.
- Schedule and assist Project Managers with sub day walk through. Including but not limited to printing of construction documents and scope summary for best sub pricing.
- Put together “job books” (including but not limited to:plans, all specs, cabinet shop drawings, permits etc)
- Review and confirm all specs for plumbing fixtures, electrical fixtures, cabinets, tile, appliances etc. and place orders with various vendors
- Confirm and schedule subday with client
- Create and send Request for Proposal (RFP) to all subs who are invited to bid on a project. Complete with bid set of plans, subday invite, brief project description, and proposal due date
- Confirm all selections are made (if not notify designer).
- Facilitate returns to various vendors when fixture changes are made in the field
- Various Accounting tasks to send to the bookkeeper including: keeping accounting job books, coding home depot statement, coding invoices, etc)
- Monitor est vs act reports to inform and confirm with PM’s that invoices are approved and are in budget
- Coordination and invoicing of clients for construction draws. Notify bookkeeper when checks come in and record on financial sheet
- Schedule various production meetings including clients, PMs, subcontractors etc.
- Help PM’s formalize and send change orders to clients
QUALIFICATIONS
- 1-3 years of relevant experience in construction is preferred
