What are the responsibilities and job description for the Automotive Service Advisor position at Truck & Trailer Dealership?
We currently seek a Automotive Service Advisor for our Commercial Truck dealership located in Portsmouth Virginia. This position reports directly to the General Manager and is responsible for production results and an industry leading customer service experience.
We are a commercial truck body builder and dealership serving the Towing, Auto Transport, and Waste Collection industries more the 25 years. In that time, we have become an industry leader known for producing specialized commercial vehicles that are built to last.
As a body builder we join new pre-built commercial truck chassis to a variety of specialized body types for the industries we serve. As a dealership we customize these vehicles to fit our customers’ needs offering new and used trucks to the towing, auto hauler, and waste collection industries.
Our Service & Production facility is equipped with 18 state of the art maintenance bays which include; (6) tractor/trailer drive through mechanical bays, (1) front end alignment bay, (2) welding drive through bays, and (2) truck wash bays which include frame alignment tooling and overhead lifts and (1) Quality Control Bay.
Our Service department, it is responsible for the maintenance and repair of all inventoried vehicles and outside customers. Our Production department mounts specialized standard and heavy-duty wrecker bodies to new chassis.
The facility is open Monday through Saturday 7am to 4pm. This shift is Monday – Friday 7PM to 5PM and one Saturday 7AM to 4PM one Saturday a month.
Responsibilities include but are not limited to:
Communication:
- Greet customers professionally and with enthusiasm.
- Knowledgeable of the status repair orders. Know what work has been completed and not completed, as well as the location of units, such as where they are at on the lot or what service bay they are in.
- Maintain customer rapport by communicating with the customer daily on the progress of the truck, trailer, or other vehicle or equipment being serviced, even if there are no changes or approvals that you need to address with the customer.
- Communicate with technicians on the hours that are allotted for the task/job to be done, and make sure the technician can complete the task/job in the allotted time frame given.
- Communicate expected completion of jobs with the shop foreman. In turn, frequently update customer and internal reporting to keep all apprised of the status of their repair.
- Explain warranty provisions and exclusions to customers.
Administrative:
- Input customer information, vehicle details, and requests for repair to create a repair order.
- Repair orders (ROs) are to describe symptoms, problems, and causes discovered while talking to the customer and inspecting the vehicle, as well as describing the repairs and services that are required.
- Repair order write ups must be thorough, detailed, and descriptive to minimize questions from the assigned technicians. Example: If an 18-wheeler comes in and says he has a flat tire, first go look at the tire to see if you might be able to see any initial physical damage causing the tire to be flat. Make sure to note the exact position of the tire such as: left rear axle, inner trailer tire.
- Organizing and scheduling technicians tracking their workload and maintain their schedule throughout the day.
- Create accurate estimates by costing materials, supplies, and labor, and provide full estimates with an accurate completion time and date. Obtain approvals on all estimates and have all estimates signed by the customer.
- Run payments on repair orders.
- Verify availability of parts and materials for each incoming and active repair order.
- Verify warranty and service contract coverage by examining records and papers.
