Job Overview
Private psychotherapy practice is seeking a dedicated and professional Receptionist/Administrative Assistant to join our team. This role is essential in providing a welcoming atmosphere for clients and visitors while efficiently managing administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and extensive knowledge of social media and other technological tools, such as Google Forms and website design. This is a part-time (less than 10 hours per week), contracted position to start. The terms will be re-visited as the practice grows.
Duties
- Manage incoming calls, emails, and correspondence.
- Work closely with Clinical Supervisor to ensure clients are assigned to the appropriate clinician.
- Work closely with Billing Specialist to assist her in obtaining up-to-date insurance information from clients
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Schedule appointments and manage calendars for staff members as needed.
- Maintain office supplies inventory and place orders when necessary.
- Assist with administrative tasks such as filing, photocopying, and scanning documents.
- Ensure the office is tidy and inform Business Owner if something is in need of repair or attention.
- Support other administrative staff with various tasks as required.
Skills
- Proficient in office procedures and front desk operations.
- Strong data entry skills with attention to detail.
- Excellent organizational abilities to manage multiple tasks effectively.
- Previous experience as a receptionist is a plus.
- Computer literacy with proficiency in Microsoft Office Suite, web design, and other applications.
