This is a full-time position responsible for supporting the HR Compliance Manager in various compliance-related functions, including administering the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), and Short-Term Disability (STD) processes. Assisting with compliance initiatives, audits, and employee relations as needed. This role requires maintaining up-to-date knowledge of HR laws and regulations (state and federal) and ensuring compliance with company policies and applicable laws. Performing a range of support functions and administrative duties to assist the HR Compliance Manager. Leave Administration
- Lead all aspects of the Family Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), and Short-Term Disability (STD) leave processes.
- Act as the primary point of contact for employees on leave, providing guidance on the leave process, answering questions, and offering clarity regarding their rights and responsibilities under applicable laws.
- Process all necessary leave-related paperwork and ensure compliance with deadlines, maintaining contact with employees throughout their leave period.
- Monitor the status of employees on leave, ensuring up-to-date records are kept and collaborating with HR Compliance Manager to address and resolve leave-related issues.
- Track employee leave balances and conduct periodic reviews to ensure accuracy; adjust records as needed.
- Conduct audits of all leave-related records, ensuring compliance with legal requirements and company policies, while meeting reporting deadlines.
- Ensure adherence to state and federal record-keeping regulations by maintaining accurate records of all leave-related information. Provide updates and recommendation to HR Compliance Manager frequently.
Compliance
- Assist in additional compliance-related tasks as requested by the HR Compliance Manager, contributing to the overall compliance strategy.
- Maintain an up-to-date knowledge of state and federal HR laws and regulations, including but not limited to the Equal Employment Opportunity (EEO), ADA, and FMLA.
- Conduct periodic audits of HR data, procedures, and files to ensure data integrity and compliance with record-keeping regulations. Escalate any compliance issues to the HR Compliance Manager as necessary.
- Assist with reviewing and auditing company policies and procedures to ensure alignment with current legal standards and best practices related to Leave Administration.
- Identify potential compliance risks and work closely with the HR Compliance Manager to mitigate these risks and implement corrective actions as needed.
Support
- Become proficient in HR systems, ensuring accurate entry and validation of employee data (e.g., new hires, terminations, job/location changes).
- Assists the HR Compliance Manager and team with providing general office support by pulling reports, entering data, formatting, printing information; organizing work; answering general employee question.
- Acts as backup to other team members and performs other duties as assigned.
- An associate’s degree in a related business field; with three to five (3-5) years of experience in human resources functions including handling Leave Administration; or an equivalent combination of education and/or experience may be considered.
- Proficiency with Microsoft Word, Excel and Outlook.
- Ability to handle sensitive and confidential information with professionalism and integrity.
- Strong decision-making skills.
- Must reside in or relocate to Casper, Wyoming.
- English language fluency, verbal and written.
- Acceptable results of a pre-employment background check and drug/alcohol test.
