Construction Office/Project Coordinator

Objective
The Construction Project/Office Coordinator/ (Office Coordinator/Administrative Assistant, and Central Coast Billing hub coordinator) by its nature is broad in scope and subject to modification from time to time. The following description is not meant to be restrictive, but to outline duties and responsibilities.
Work directly with the Area Construction Manager. Oversee all permitting and plan tracking/ management. Track schedules, coordinate with Trumark Construction staff and trades. Coordinate with Architects, Engineers, and city staff to efficiently process building plans. Other Duties as defined below.
Office Coordinator/Administrative Assistant
Front desk receptionist
- Greeting clients, answer multi line phone and direct all incoming calls to their party (take messages via notepad or email when not available)
- Delivering Packages, as needed
- Coordination of meetings, scheduling, order lunches, etc.
- Receive Mail, open, date stamp and distribute accordingly.
- Maintain company vehicle (Oil changes, gas, maintenance, etc.)
- General Office Ordering/Inventory Control (maintain office appearance)
- Decorate the lobby for holidays.
- Order and manage office supplies.
- Planning of office events as well as day-to-day tasks
- Maintain office plants
- Manage communication between building management (UCSC MBEST) & Trumark Staff
- Clean refrigerator bimonthly
- Maintain organization and functionality throughout office and departments.
- Participate & represent the CenCal Coastal offices w/ Corporate Cultural Committee Team
- Function as a Notary if needed – Trumark will assist in acquiring notary license.
- Excellent communication skills
- Positive “can do” attitude which is critical.
Central Coast Billing Representative
- Works with CenCal Accounting Manager
- Acts as the billing hub for CenCal Coastal Offices (Marina and SLO)
- Receives all invoices, confirms receipt, and distributes to appropriate approval queue.
- Works with the trades on billing questions, payment status and other questions
Permitting – City Of Marina
- Responsible for all submittals.
- Track all specific deadlines that need to be met.
- Track all city comments and responses from consultants.
- Track all redlines and send out a summary to purchasing and trades, as necessary.
- Pay all fees and manage all check requests.
- Review lot specific sets for accurate plan type, elevation, and color schemes.
- Scan all permits and file in specific job files and lot files.
- Review all plot plans to ensure accuracy.
- Coordinate between Construction Manager and Field staff on any current and future project needs.
- Assist with and Monitor Variance Purchase Orders, Change Orders, contracts, and scope of work.
- Assist purchasing department as needed.
- Make sure superintendents have correct paperwork.
- Manage lot folders
- All options placed into lot specific folders
- Track all building finals against projected closing dates.
- Run tracking spreadsheet that highlights this information.
- Receive, review, and process all invoices for the Marina Sea Haven jobsite.
- Manage the Construction Dump Truck, billing, IRS reporting, Registration, etc.
- Review progress summary weekly and make sure all design cut offs are being met.
- Set up temp power as needed (PG&E website) request checks, apply for temp power pole permits
- Manage and track field rentals against budget costs
- Manage quarterly trade newsletter
- Schedule safety courses for field crew and keep current
Qualifications/Education
- Excellent organization and project follow through
- Experience with spreadsheets, Google docs, MS 365 and PM software
- Associate degree (A.A.) from two-year College or technical school; or one to three years related experience and/or training; or equivalent combination of education and experience.
- Compensation: $60-$75K

Salary : $60,000 - $75,000
