What are the responsibilities and job description for the Deputy Recorder - Mail position at Trumbull County?
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
MAIL OPENER/EXAMINER: Open mail, Specialty mail, interoffice mail, e-filings. Determine customer service requested and forward to proper department or office. Examine document to determine if it meets recording or filing requirements and to assure the document is to be filed or recorded in Trumbull County. Calculate fee and ensure it is included and record the document. Complete return forms to give notice of reason for rejection of documents, or call customer to determine if document could be recorded without return.
RECORDING CASHIER: Accept recordable documents for recording from in person and electronic filing (e-file) customers, and assure conformity to specified requirements. Examine documents to assure property described is within Trumbull County and if documents meet recording standards. State method received, customer’s name, document type, identify signature and description page numbers, index names of grantor/grantee and note method and place of disposition. Compute itemized receipt showing method of payment, list checks, and issue receipt to customers, stamp seals and place bar codes on recorded documents. Receive and enter debit and escrow payments, receive and verify register receipt. Check and balance the cash drawer daily. Also, open safe and distribute petty cash to cashiers when necessary.
QUALITY ASSURANCE: Data is reviewed for comparison with the original data entry. This process is referred to as validation. When data is saved in quality assurance, all of the information is permanently kept. Verifiers examine scanned images of recorded documents which includes verifying instrument type, consideration, grantor, grantee, parcel numbers, legal description of property, redaction of Social Security #’s or any other information the public should not have access to view etc… Check for correct paging and bar code disposition to verify conformity to specified requirements. Compare data entry and identify any inconsistencies. Reconcile any differences between existing entries. Quality Assurance is the final step for recordable documents. Ensure marginal notations have been noted and included. If omitted, either add them or return to data entry department for correction. Notify supervisor if repeated errors in data entry occur and a shortage of output is detected.
CUSTOMER SERVICE: Assist general public by answering inquiries either in person or by telephone. Answer work-related questions of co-workers as needed. Provide excellent customer service to all customers during any customer interactions. Assist Veterans in need of New or Renewal of Veteran ID Cards. Check email account daily for office and county correspondence.
**Acts as back-up for Quality Assurance. Prepares deposit and opens safe and office when necessary. Helps correct minor co-worker document errors when necessary. May be asked to help with Data Entry on rare short staffing occasions.**
REQUIRED TO PERFORM ANY DUTIES RELATED TO THE OPERATION OF THE RECORDERS OFFICE AS NECESSARY.
