POSITION PURPOSE :

The Rooms Controller is the liaison between Front Office, Housekeeping, and Food and Beverage with emphases placed on VIP's, High profile groups, and special room request.

EXAMPLES OF DUTIES :

ESSENTIAL FUNCTIONS :

  • Assigns and instructs housekeeping on arriving VIP, group, and special room type needs for a business
  • day. Informs Front of House, Guest Service Agents, Operators and Bell Attendants of high profile arrivals and departures. Monitors rooms statutes to prevent waits at the front desk. Blocks all arrivals for a
  • business day.
  • Assists Front of House, Guest Service Agents, Operators, Reservation Agents, Bell Attendants and other
  • departments with any questions or requests.
  • Assists Front desk with check in's and check outs.
  • Coordinate the delivery of amenities to VIP rooms. Prepare a list of repeat guest and VIP's. Distribute
  • list to all departments.
  • Prepares and conducts daily pre-shift meetings, communicates effectively with all staff and provides them with any information concerning groups, VIP, and room types that we are short on. Participates in pre-con meetings to ensure the success of Trump National Doral - Miami .
  • Takes control of all transactions at the front desk during a property management system crash. In the event of a system crash the Rooms Controller will coordinate all arrivals and departures. When the system returns the controller will first update the system with the pending transactions, then authorize the FOH staff to resume normal operations.

Other :

Due to the cyclical nature of the hospitality industry, associates may be required to work varying schedule to reflect the business needs of the resort.

Regular attendance in conformance with the standards, which may be established by Trump National Doral - Miami from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the industry, that we are in a need will occur for each associate to provide "Lateral Service". Our goal is to ensure that we are maximizing customer satisfaction and as a result there will be times when our associates in Operations will call upon us for support in order to ensure customer satisfaction occurs. When we are fortunate enough for this to occur, each associate will positively respond unless there is a chance that an opportunity resulting in dissatisfying a guest could occur. If this is the case the Resident Leader is to be notified and the level of support that is being requested will be obtained.

SUPPORTIVE FUNCTIONS :

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the resort.

  • Perform other duties as assigned by Supervisor
  • Complete daily checklists of duties, to assure that appropriate reports are filed, and use analysis and judgment skills when preparing room discrepancy report.
  • Pre-Register all VIP's so that the rooms may be inspected, and at the same time to ensure amenities are delivered to the correct rooms.
  • Prepare daily forecast of expected arrivals and departures.
  • Operation of office equipment such as facsimile and photocopier as needed.
  • Respond promptly to guest requests.
  • File departure registration cards alphabetically error-free.
  • Maintain an alert, attentive, calm, and reassuring demeanor and tone of voice.
  • Be responsive to guest's requests by communicating their needs to appropriate departments in a prompt and courteous manner.
  • Participates in annual associate review and opinion survey.
  • Participates in all required training.
  • Works closely with Front Office Leader and Director Revenue to ensure occupancy, average daily rate and fair share distribution of revenue between resort and residences are achieved in accordance with departmental goals.

    OTHER DUTIES :

    Assimilate into Trump National Doral - Miami Cultural Foundation through understanding, supporting and participating in all elements of the Trump Cornerstones. Demonstrate working knowledge of the service standards. Regular attendance in conformance with the standards, which may be established by Trump National Doral - Miami from time to time, is essential to the successful performance of this position.

    SAFETY REQUIREMENTS :

    OSHA laws require the use of the following Personal Protective Equipment (PPE) when performing work duties that have the potential of risk to your health or safety :

  • Associates will be trained in the proper use and care of assigned PPE. The resort provides the required PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly, to your Leader.

    SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY :

    The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

  • Ability to effectively deal with associates and guests, some of whom will require high levels of patience, tact and diplomacy to defuse anger and collect accurate information.
  • Moderate computer skills, considerable training in Microsoft Office applications. Advance knowledge on OnQ (property management system).
  • At least one year of Front Desk experience or equivalent schooling in hospitality management. Some experience in housekeeping preferred.
  • Basic mathematical skills and considerable skill in the use and operation of a calculator to prepare moderately complex mathematical calculations without error.
  • Ability to communicate orally and verbally in English with staff and outside entities. Certain positions will require the ability to read and write in English as well.
  • Ability to see and hear in order to observe and detect signs of emergency situations.
  • Ability to work under pressure and deal with stressful situations during busy periods.
  • QUALIFICATION STANDARDS :

    Education :

    Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities.

    High school diploma preferred.

    Experience :

    Moderate computer skills, considerable training in Microsoft Office applications. Advance knowledge on OnQ (property management system).

    At least one year of Front Desk experience or equivalent schooling in hospitality management. Some experience in housekeeping preferred. Prior hospitality and / or communications experience preferred.

    Licenses or certificates :

    No special licenses required.

    Grooming :

    All associates must maintain a neat, clean and well groomed appearance (specific standards available).

    Other :

    Additional language skills preferred.
