**Job Summary:**
The position of Events Manager is a leadership role; guiding, training and coaching
subordinates with a positive attitude is a key element of this position. This position is
responsible for the development and implementation of sales strategies, initiatives, plans, and
programs primarily designed to increase catering events, maximize revenues, and promote a
positive image of the club. Responsibilities include the implementation of various strategies
including direct and/or telephone sales, direct marketing communications, advertising, special
event promotions and community & municipal relations, etc. Responsibilities also include
conducting periodic market research to provide information essential for revising current
collateral, which enhance the Company’s competitiveness in the marketplace, as well as for
fiscal and operational analysis as appropriate. Supervise banquet service personnel to assure
member and guest satisfaction through proper food and beverage service and presentation.
Maximize the club’s profitability from the catering function.
ESSENTIAL DUTIES AND RESPONSIBILITIES includes but is not limited to the following:
- Responsible for the banquet service function in the club.
Responsible for the sales of all private functions. This includes meeting with the clients to
determine needs, meeting those needs and exceeding their expectations through detailed
communication with both client and support staff from prospecting to execution of the event.
Ensures all contracts are fully executed by event and that the details of the event are agreed
upon.
Develop and organize all group events, special events and manage communication between
departments to help ensure coordination of activities. Maintain positive relationships and
communicate clearly, tactfully, and persuasively with employees, customers and outside
contacts as applicable. Ensure that all employees, especially member/customer contact
personnel, fully understand all pertinent details in order to maximize guest satisfaction.
Works with the Executive Chef and others to schedule/coordinate personnel requirements
for private functions.
Develops detailed plans for each catered member event in conjunction with the club’s
management team.
Attends/Holds pre-function meeting with banquet servers to ensure smooth, efficient service;
assigns server stations and coordinates the timing of courses.
Attends all Food and Beverage meetings.
Assures the neatness, cleanliness and safety of all banquet areas.
Conducts after-event evaluations to improve quality and efficiency of banquet functions.
Ensures that all appropriate charges are billed correctly to each event and forwarded to the
accounting department for billing.
Work closely with the Director of Membership in obtaining information on new Members and
their needs.
Work as part of the team that coordinates and successfully executes USGA, PGA & LPGA
tournaments awarded to the club.
SUPERVISORY RESPONSIBILITIES
Supervise all employees in the Special Events & Banquet department. Carry out supervisory
responsibilities in accordance with the organization's policies and applicable laws.
Responsibilities include:
- Interviewing, hiring, and training employees
- Planning, assigning, and directing work
- Preparing weekly work schedule
- Appraising employee performance
- Rewarding and disciplining employees
- Addressing complaints and resolving problems
- Networking inside and outside of the club to obtain “leads” and build relationships with
new and existing member/clients.
- Monitor facility activities and make recommendations to improve customer service and /
or operational efficiencies.
- Maintain knowledge of current and projected industry developments through continuous
attention to marketing and wedding periodicals and participation in relevant trade
organizations.
- Assists in the preparation of the marketing plan and annual budget to increase the
profitability of the banquet operation; monitors performance against budgets;
recommends corrective actions as necessary to help assure that budget goals are met.
Assumes Closing Manager and/or Manager on Duty (MOD) responsibilities when
needed.
EDUCATION and/or EXPERIENCE
The following is required:
Minimum of at least 3 years of experience as a professional
Minimum of 1 years of supervisory experience.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty
satisfactorily. In addition, the following qualifications are required:
Must have knowledge of legal issues as it relates to wage and hour law, Health
Department Regulations and OSHA.
Must possess a valid Virginia driver’s license.
Must be capable of communicating well with Members and Staff.
Must be in compliance with and actively support a drug free workplace.
Must have a neat, clean and well-kept appearance.
Position requires flexible availability with the availability to work weekends and holidays
and may be required to return to job site at odd hours under emergency situations.
Must be able to pick up and carry up to 35 pounds as needed.
OTHER SKILLS AND ABILITIES
Language: Ability to read, write and comprehend complex correspondence, memos, and
effectively present information in one-on-one and small group situations to Members,
Committees, guests and other employees.
Mathematics: Ability to add, subtract, multiply and divide in all units of measure using whole
numbers, common fractions and decimals.
Computer: Must be familiar with Microsoft office suite.
Reasoning: Ability to apply common sense understanding to carry out detailed written or
oral instructions.
Other: Exhibit professionalism and expressed interest of improvement through enhanced
developmental and leadership skills. Requires managerial and supervisory background with
an understanding of private club operations as it pertains to legal liability and employee
relations. Must possess the ability to recommend solutions for increased efficiency and cost
saving solutions. Maintain a pleasant and outgoing personality and must not possess any
extreme personal appearance characteristics as judged by a conservative membership
base. Must be respected in the Community.
