Position Overview: We are seeking a highly skilled Trust Advisor to administer personal trusts, estates, and investment agency relationships in accordance with governing documents and applicable state laws while delivering excellent client service.

The ideal candidate will have a strong background in fiduciary law, trust administration, and client relationship management and be detail-oriented and client-focused. They excel in relationship management, ensuring timely and effective communication with clients, beneficiaries, and advisors. They are organized, proactive, and able to work independently or collaboratively to oversee the administration of complex trust accounts while adhering to fiduciary policies and procedures.

Key Responsibilities:

·        Trust Administration: Administer and manage assigned trust accounts following governing documents and state laws, ensuring compliance with fiduciary policies and procedures.

·        Document Interpretation & Compliance: Demonstrate a strong understanding of trust documents, ensuring administration aligns with trust provisions and legal requirements.

·        Client Relationship Management: Provide excellent client service through proactive communication, responsiveness to inquiries, and regular client engagement.

·        Discretionary Decision-Making: Prepare necessary documentation and recommendations for the Discretionary Committee regarding discretionary distributions.

·        Regulatory Compliance & Record Keeping: Maintain accurate trust records, documentation, and files while ensuring compliance with internal fiduciary policies and regulatory requirements.

·        Trust Taxation: Maintain an understanding of trust taxation and the tax implications of trust distributions working with the Tax Manager to ensure accurate returns are filed for each deadline.

·        Delegation & Process Management: Effectively oversee and delegate administrative tasks to support staff.

·        Transaction Monitoring: Review daily transactions posted to trust accounts to ensure accuracy and proper documentation.

·        Account Reviews & Audits: Prepare and conduct annual account reviews, ensuring ongoing compliance and accuracy.

·        Client & Advisor Meetings: Meet with clients to discuss trust and estate planning matters as needed.

·        Other duties as assigned.

Education and Experience:

  • Bachelor’s degree in business, finance, or a related field; Certified Public Accountant (CPA) or Juris Doctorate (JD) preferred.
  • Certified Financial Planner (CFP®), Certified Trust and Fiduciary Advisor (CTFA), or other related professional designations a plus.
  • 5 years of experience in trust administration, estate planning, or a related fiduciary services role.
  • Skills: Strong knowledge of trust taxation, fiduciary law, and trust administration practices; excellent organizational and time management skills to handle multiple accounts efficiently; detail-oriented with the ability to maintain accurate records and documentation; ability to work independently and collaboratively within a team-based environment; superior client relationship management skills to provide outstanding service and build long-term relationships; strong written and verbal communication skills to interact effectively with clients, advisors, and internal teams; willingness to travel occasionally for client and advisor meetings.
  • Communication: Excellent written and verbal communication skills, with the ability to explain complex concepts clearly and concisely to clients and colleagues.

Working Conditions:

  • Work Environment: Office-based in Tulsa, Oklahoma. Occasional travel within the Tulsa market and to Oklahoma City will be required for training or client meetings.
  • Hours: Full-time position with standard business hours. Some flexibility may be required during peak reporting periods.
