We are seeking a highly organized, detail-oriented, and proactive Office Assistant to support the Director of Marketing. This role plays a crucial part in ensuring smooth day-to-day operations, managing communications, coordinating schedules, and assisting with marketing projects and administrative tasks.
Key Responsibilities:
- Provide high-level administrative support to the Director of Marketing
- Manage calendars, schedule meetings, and coordinate appointments
- Assist with the preparation of presentations, reports, and marketing materials
- Handle email and phone communications professionally and efficiently
- Maintain organized digital and physical filing systems
- Coordinate travel arrangements and expense reports
- Support the planning and execution of marketing campaigns and events
- Track deadlines and follow up on project timelines and deliverables
- Perform data entry, research, and assist with CRM and marketing platforms
- Liaise with internal departments and external partners as needed
Qualifications:
- Proven experience in an administrative or office assistant role (marketing support experience is a plus)
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Familiarity with marketing tools like Canva, Mailchimp, HubSpot, or similar platforms is a plus
- Ability to work independently and maintain confidentiality
- Positive attitude, team player, and adaptable to a fast-paced environment
