We’re looking for a competent Executive Assistant to join our team.
Job Description
The Executive Assistant will provide personalized administrative and secretarial support in a well-organized and timely manner. This role will work one-on-one with various executive leaders on a variety of tasks related to work life and communication.
Responsibilities
This role will be responsible for facilitating efficient day-to-day operations by performing a variety of clerical and administrative tasks. This role will provide high-level administrative support to executive leadership.
- Perform administrative duties for executive leadership
- Arrange travel, accommodation, meeting and event arrangements for executives
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics
- Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed
Essential Functions
- Schedule and attend meetings on behalf of executives, taking notes and recording minutes.
- Welcome guests and clients by greeting them, in person or on the telephone; answering or directing inquiries
- Copy, sort, and file records related to office activities, business transactions, and other matters
- Prepare letters, memos, forms, and reports according to written or verbal instructions
- Sort incoming mail and deliver to appropriate department or individual; process outgoing mail
- Maintain office supplies and coordinates maintenance of office equipment
- Perform other related duties as assigned
Qualifications
Required Qualifications/Skills
- Associate’s degree
- Excellent interpersonal skills (verbal and written)
- Proficient experience with Microsoft Office Suite including Word, PowerPoint, and Excel
- Strong organizational skills with the ability to manage multiple priorities and maintain a high level of attention to detail
- Effective time management skills with a proven ability to meet deadlines
- Ability to multi-task, effectively prioritize work, and adapt during pressured situations
- Ability to work autonomously and collaboratively and contribute to a positive and productive work environment
Preferred Qualifications/Skills
- Bachelor’s degree in related field
- Minimum of 1 year experience in similar environment
