Description
We are seeking a detail-oriented and proactive Client Solutions Representative to join our dynamic team. This role is crucial in managing service request administration, dispatch operations, and inbound client communications. As the first point of contact for clients, this position requires strong communication skills, multitasking abilities in a fast-paced environment, and a strong customer service focus.
Ideal candidates will have experience in facilities management, property management, building services, maintenance coordination, security services, or similar industries where service dispatch, client support, and work order management are key responsibilities.
Key Responsibilities
- Respond to inbound calls and messages professionally and promptly.
- Direct inquiries appropriately and ensure timely resolution of client concerns.
- Provide excellent customer service while managing service requests efficiently.
- Monitor, create, and dispatch work orders across multiple software platforms.
- Maintain accurate and up-to-date records of work orders and inspections.
- Ensure proper follow-up and closure of tickets to meet service quality standards.
- Work closely with operations teams to resolve service issues effectively.
- Assist in meeting Key Performance Indicators (KPIs) through proactive support.
- Generate and distribute status reports to track work order progress.
- Assist in billing and invoice verification processes for accuracy.
- Review, correct, and validate data entries to maintain system integrity.
- Be available for on-demand shift coverage as needed.
- Adapt to changing priorities and contribute to a collaborative team environment.
Requirements
- Experience in customer service, service coordination, or call center environments.
- Familiarity with work order management systems, service dispatch platforms, or maintenance scheduling tools.
- 3 years of relevant experience in industries such as facilities management, building maintenance, janitorial services, property management, security services, or logistics coordination.
- Associate’s degree or equivalent experience.
Skills
- Strong verbal and written communication skills with a professional phone presence.
- Excellent customer service orientation and problem-solving abilities.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
- Ability to quickly learn and navigate multiple software platforms.
- Exceptional attention to detail and ability to manage multiple tasks simultaneously.
- Strong organizational skills in a high-volume, fast-paced environment.
