Job Description

The Patient Care Coordinator is responsible for managing front desk operations, assisting patients with their healthcare needs, and supporting clinical staff to maintain the highest level of patient satisfaction.
Key Responsibilities
- Front Desk & Patient Experience
- Welcome and check in patients and visitors, ensuring wait times do not exceed 15 minutes.
- Manage the clinic's front desk workflow and facilitate clear communication with medical assistants (MAs) and providers.
- Respond to patient inquiries, update them on wait times, and provide assistance as needed.
- Administrative Support
- Schedule, reschedule, and manage provider appointments, ensuring accuracy and minimal disruptions.
- Maintain accurate patient records, update personal and financial information, and scan necessary documents.
- Process requests for medical record releases and maintain compliance logs.
- Balance daily deposits, manage cash box operations, and prepare deposits according to company policies.
- Patient Advocacy & Coordination
- Support patients in navigating healthcare-related issues, including scheduling appointments and connecting them with necessary resources (e.g., interpreters, transportation services, or prescription assistance).
- Assist case managers with follow-up appointments, such as hospital discharges, to ensure continuity of care.
- Other Duties
- Handle incoming calls and direct them appropriately.
- Process walk-in patient visits promptly and ensure appropriate follow-up is scheduled.
- Assist with other clerical or support functions as assigned.
- Education: High School Diploma or GED equivalent.
- Experience:
- Minimum of 2-3 years of customer service experience in a healthcare environment is preferred.
- Skills & Knowledge:
- Strong customer service orientation and interpersonal skills.
- Ability to remain calm and effective in emergency or high-pressure situations.
- Proficient in computer use and experience with Electronic Health Record (EHR) systems.
- Knowledge of medical terminology, ICD-10, and CPT coding is highly desirable.
- Basic math skills and experience with payment collection.
- Ability to work collaboratively in a team-oriented environment.
- Must be able to lift up to 50 lbs. and push/pull up to 100 lbs.
- Ability to stand or sit for extended periods.
- Perform repetitive tasks such as operating office equipment (e.g., computer, phone).
- Able to process instructions and solve simple and complex problems using logic and reasoning.
- Occasionally exposed to communicable diseases or bodily fluids.
- Required immunizations and vaccinations as per clinic policy.
- Occasional travel for meetings or training sessions may be required.
- Language Skills: Bilingual in English/Spanish is preferred but not required.
