JOB DESCRIPTION
Job Title: Payroll Specialist
Department: Human Resources
Reports To: HR Manager
FLSA Status: Non-Exempt
SUMMARY
Payroll specialists will be responsible for all payroll related tasks. Collecting field information for accurate keeping of working hours and location. The Payroll Specialist will calculate wages, prepare, process employee payments, attend to and resolve pay-related queries, ensure that the accounts are balanced, and prepare reports for review by management.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Collecting timesheet data and payroll information for accuracy.
- Processes regular payroll information on a weekly basis including Certified payrolls, as well as bonuses and off-cycle checks
- Maintaining accurate records of payroll documentation and transactions.
- Respond to payroll-related inquiries and resolving concerns.
- Performing account balance and payroll reconciliations.
- Preparing periodic payroll reports for review by management.
- Post, update and reconcile all employee-related payroll deductions (garnishment, tax levies, child support orders, loans, etc)
- Prepares follow-up for Stop Payment requests, manual check requests, and associated system updates Preparing financial reports for accounting and auditing purposes.
- Reconciliation of entries into accounting system
- Run reports and gather materials as needed to assist with annual audits and preparation of year-end tax returns
- Assist, HR, CFO and Controller with special projects, administrative tasks, and other accounting reporting needed.
- Maintain an orderly accounting filing system
- Calculate variances from the budget and report significant issues to management
- Follow accounting policies and procedures, comply with local, state, and federal government reporting requirements
- Perform other duties as assigned

QUALIFICATIONS

Education and/or Experience:
Bachelor's degree (B. A.) from four-year college or university; or two to five years related experience and/or training; or equivalent combination of education and experience.
- Strong knowledge in Account Reconciliation, Accounts Payable, Accounts Receivable, Payroll Processes, etc.
- Technical and comprehensive knowledge of all accounting and tax areas of a business
- Excellent computer skills including all MS Office applications. (Word, Excel, Outlook, PowerPoint) required and ability to use accounting software
- Must be efficient with strong attention to detail
- Must have strong customer support orientation (for internal/external customers), demonstrated professional demeanor, and the ability to maintain confidential information
- Must have strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solving
Communication Skills:
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups, and/or boards of directors.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
