Contract and Administrative Coordinator

Location: San Rafael, CA (Hybrid)
Pay Rate: $38/hr.
Duration: 1-year assignment


On behalf of our client a leading pharmaceutical company specializing in the development of therapeutics for patients dealing with life threatening rare genetic diseases. We are seeking for a Contract and Administrative Coordinator withing HR. This role provides critical support to the HR department by managing contract submissions, vendor coordination, and executive administrative tasks. The ideal candidate is highly experienced in contract and administrative coordination, excels in managing complex processes, and is adept at handling sensitive information in a fast-paced environment.

 

Key Responsibilities:

· Oversee the entire contract request and submission process for HR.

· Submit contracts, including Master Service Agreements (MSA) and Statements of Work (SOW), within contract management systems like Coupa and SpringCM.

· Ensure contracts adhere to corporate policies and are processed efficiently.

· Manage vendor setup and create requisitions within Coupa.

· Act as the primary liaison between vendors, department managers, legal, accounts payable, and finance teams.

· Maintain an up-to-date status of all contracts and track key dates, such as renewals and expirations.

· Collaborate with vendors for monthly accrual estimates and update Coupa receipts accordingly.

· Utilize reports and data from Coupa to support contract management.

· Partner with finance to resolve end-of-quarter reconciliations.

· Schedule meetings and coordinate logistics for internal and external groups.

· Manage calendars for HR executives, scheduling meetings, travel arrangements, and booking events.

· Track and ensure timely completion of onboarding tasks for new hires.

· Process I-9 requests and follow up on work authorization expirations.

· Audit employee files for compliance and ensure all required documents are secured.

 

Education and Experience:

· Bachelor’s Degree and 4 least four years of related experience, including executive-level support.

· Proficiency with standard office software and tools relevant to the role.

· Preferred experience with Coupa and SpringCM.

· Demonstrated experience in program and vendor management

· Proficiency in Microsoft Office Suite (Project, Excel, PowerPoint, Word, Outlook) and Oracle HCM.
