What are the responsibilities and job description for the Finance and Contracts Specialist position at Tucson Audubon Society?
SUMMARY: The Finance and Contracts Specialist is responsible for maintaining accurate financial data, processing accounts payable and receivable requests, and other bookkeeping related duties, as well as maintaining accurate financial records and processing monthly billing for various federal contracts and agreements.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Processes accounts payable and accounts receivable transactions.
- Reconciles Credit card transactions and payments.
- Prepares bank deposits and scans checks.
- Processes and balances monthly Federal Partner and Agency billings.
- Verifies Nature Shop receipts for deposit and reconciliation in QuickBooks.
- Counts Nature Shop and Paton cash for bank deposit.
- Prepares month-end journal entries for review.
- Coordinates with Development and Membership teams for data entry and retrieval.
OTHER RESPONSIBILITIES:
- Special Projects at the direction of the Operations Manager and/or Executive Director.
- Supports TAS events such as Southeast AZ Birding Festival, Membership annual event, and others as requested.
SUPERVISORY RESPONSIBILITY:
This position may occasionally supervise volunteers.

- Works primarily in an office environment and uses a keyboard, mouse, and other common office equipment.
- This position operates from the Mason Center Location and will require intermittent travel to other TAS locations.

- Ability to lift files, open filing cabinets, and bend or stand as necessary.
- Ability to use hands for manual tasks requiring dexterity.
EDUCATION, EXPERIENCE, AND COMPETENCIES:
Required
- Associate degree in a related field
- 2 years of bookkeeping or related accounting experience, preferably in a non-profit setting
- Thorough knowledge of generally accepted accounting principles (GAAP)
- Knowledge of accounting systems (QuickBooksOnline and QuickBooks POS)
- Proficient in Microsoft Office applications, as well as Google Suite
- Excellent organizational skills and thorough attention to detail
- Ability to prioritize work and balance multiple tasks
- Experience working within a non-profit organization
- Excellent interpersonal skills and the ability to collaborate positively with people at all levels
- Valid Driver's License
- Understanding of and commitment to the organization’s mission, goals, and values
Preferred
- An interest in birds, natural history, and wildlife conservation
